About this opportunity:
This position will provide administrative assistance to employee on-boarding, department activities, department planning, department financial tracking support, department communication, and workflow tracking support to the Lloydminster Manufacturing Technical Services department. Additional back up support will be required to assist with other administrative roles within the facility.

Work Environment:
This position is located in Lloydminster and requires the successful candidate to live in the area
It is regular business hours from Monday to Friday
What you’ll do:
Perform general department administrative duties and daily office functions such as word processing, data entry, scheduling, ordering lunch, assembling presentations, creating communication plans, organizing meetings, general office supplies, PPE ordering, training, and support
Key communicator within the department - ensures that all information is distributed to employees via outlook calendar invites, email, bulletin boards, etc. in a timely and effective manner
Coordinating new hires, employee changes, office moves as a logistics coordinator, including service tickets
Coordinate regular maintenance of the Upgrader and Refinery Technical Services Pool trucks, maintain users in Geotab for reporting and fob management, run reports in ARI and Geotab as required
General department information management, including direction on the most appropriate systems to use following the IM standard and guidance (HDMS, PPH, SharePoint, Network Drives)
Supporting department on cleanup of repositories and providing training to team members (as required)
Ensuring controlled documents are managed as per standard processes for department, including PPH (forms, procedures, templates, etc.). handling workflow reviews, approvals, and publishing in a timely manner
Pcard holder and responsible for completing monthly expense reports, (against monthly budgeted costs)
Help maintain and improve the Tech Services Department SharePoint sites c/w all available online forms, specifications, links, and applications
Complies with all HS&E requirements in the performance of this Position's responsibilities
SharePoint and web design support to the Lloydminster Refinery & Upgrader. Providing support on standard processes, resolving errors and issues as well as initial site build
Create and maintain Power BI reports for the Technical Services department
Who you are:
Our ideal candidate will have the following minimum requirements:
Legally authorized to work in Canada
High school diploma, associate degree in office / business administration or similar field or equivalent work experience in lieu of degree
Post-Secondary education is an asset.
Excellent organizational skills in event planning, team building, administrative support.
Excellent Microsoft Office skills (particularly Word, Excel and PowerPoint), and data handling.
We acknowledge the value of transferrable skills and may consider equivalent combinations of experience and education should you not meet a specific requirement.
As this position has been identified as safety sensitive, employment of a final candidate selected for this position will be conditional upon successful completion of required pre-employment medical and alcohol/drug assessments.
