About the role
We're looking for an Executive Assistant I to join our growing team!
What you'll do here:
Support Treasury team & VP Procurement in various tasks: email and calendar management, business travel, expense accounts, updating organizational charts etc.
Plan, coordinate and organize meetings: invitations, scheduling conflicts addressed and resolved, room reservations, catering, equipment, etc
Support document preparation.
Provide support to the management and adjacent teams. This includes: Contact People, filing confidential employee documents; preparing team meeting agendas; preparing document packages for various meetings; and tracking timesheets.
Ensure the quality of the French & English used in memos/documents.
Support teams with the integration of new employees: from access requests to the closing files of departing employees. Treat information and records in complete confidentiality.
Monitor budgets, complete payment requisitions, make invoices payments, purchase supplies, etc.
Collaborate in an administrative team and work closely with other Executive Assistants within Intact.
What you bring to the table:
College diploma in administration or secretarial studies or equivalent combination of education and experience.
Minimum of 5 years experience.
Strong business acumen and professionalism.
Proficiency in MS Office (Word, Excel and PowerPoint).
Can handle multiple competing priorities and deadlines.
Excellent communication skills, both written and verbal.
For candidates located in Quebec, bilingualism is required considering the necessity to interact on a regular basis with English-speaking colleagues across the country.
No Canadian work experience required however must be eligible to work in Canada.
