About the role

Job title: Executive Assistant - Operational Planning - Commercial lines and Billing national teams.

General Description: The Executive Assistant plays an important role in the operational support of project and planning teams. This role requires a high degree of flexibility and autonomy, a focus on quality customer service and proactivity, as well as analytical skills. You would work with national teams across Canada.

Work Location: Montreal (2020, Robert-Bourassa Blvd.)

What you'll do:

  • Support the Vice-Presidency and the management team in various administrative tasks

  • Manage and analyze emails and other communications to identify priorities, follow-ups and define required actions. Adjust agenda and priorities as needed.

  • Management of business travel and related logistics

  • Planning, coordination, and organization of meetings: invitations, scheduling conflicts, room reservations, catering, equipment, agenda, necessary documentation, follow-up on action items and other needs.

  • Provide support for the creation, translation and revision of documents and materials required for meetings.

  • Track budgets, expense accounts, invoice payments, purchase orders, equipment orders. Creation of reports and follow-up mechanisms.

  • Help integrate new employees, close files of departing employees; handle information and files confidentially. Update organizational chart.

  • Participate in team meetings and collaborate with peers to achieve objectives.

  • Support all other tasks related to daily operations and current priorities.

  • Participate in identifying avenues of improvement for our teams.

  • Excellent oral and written communication skills in French and English. Bilingualism is required considering the necessity to interact on a regular basis with English-speaking colleagues across the country.

  • College diploma in administration or secretarial studies, or equivalent combination of education and experience.

  • Minimum 3 years' experience in a similar role.

  • Good knowledge of the Office suite (including excellent knowledge of Word and PowerPoint) and of e-mail and diary management.
