POSITION OVERVIEW

The charter reconciliation agent is responsible to ensure that all charter flights are reconciled and sent to the finance department for invoicing in due time. He is also responsible to ensure all backup and bills have been properly received in order to invoice accurately. They must have a strong communication with the charter agents and the finance team.

DUTIES AND RESPONSIBILITIES

  • Preparation of charter flights reconciliations and invoicing;
  • Creation of quotes and invoices for all medevac flights and certain offstrip contracts;
  • Be familiar with all client contracts and special pricing as well as their special needs and requirements;
  • Administrative duties related to charter flights, such as submitting monthly General Aviation Fees to airports;
  • Maintain suppliers' information and pricing lists (catering, services, fuel, fees) and update the Charter quoting system on a weekly basis;
  • Monthly reconciliation of the department's credit card;
  • Verify and approve all invoices received from the Accounts payable department;
  • Maintain and generate charter flights statistics;
  • General filing and distribution of fuel bills and invoices received from suppliers and crew members;
  • Answer departmental phone calls when all agents are busy;
  • Carry out any other tasks necessary and required by the company.

QUALIFICATIONS

  • Accounting experience related to aviation is an asset;
  • Advanced knowledge of Excel and PDF Pro;
  • Be familiar with charter quotation software and AIMS, an asset;
  • Good knowledge of Word, Outlook and Internet;
  • Be bilingual (French/English), Inuktitut would be a complementary asset;
  • Have team spirit;
  • Airline experience is an asset.

EMPLOYMENT CONDITIONS

  • Regular work Schedule 37.5 hours/week

  • Compensation and benefits are determined in accordance with corporate policy.
