As an Administrative Assistant, your responsabilities will include the following :

  • An entry-level support position to carry out administrative tasks, with a capacity to grow into a more senior role in time.
  • Support the Executive Assistant to the President in organizing meetings and events as well as assist with other tasks, as needed.
  • Concur application: travel reservations and expense reports
  • Electronic documentation and filing system
  • Timesheet verification
  • Order supplies, create purchase requests and purchase orders and follow up on invoices
  • Prepare onboarding documentation and equipment for new employees
  • Manage priorities and conflicting needs; handle issues quickly, proactively and follow through on projects to completion, often with deadline pressures.
  • The responsibilities of this role require maturity, an attention to detail, strong organizational and prioritizing skills' capacity to adapt to changing environments and learn new software' write and communicate in both French and English, and a proactive attitude.

Required Qualifications

  • An High School diploma
  • Proven ability to handle confidential information with discretion, adapt to various competing demands, and demonstrate a high level of customer service and response.
  • Strong organizational skills that reflect the ability to perform and manage multiple tasks seamlessly with excellent attention to detail.
  • Very good interpersonal skills and ability to establish relationships with internal and external stakeholders.
  • Demonstrated proactive approaches to problem solving with strong decision-making ability.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), an asset
  • Knowledge of SAP, an asset
  • Communication skills in French and English (spoken and written)
