Location: Laval Salary: Between $54,000 and $63,000 per year Job category: Administrative Support Type of job: Permanent Schedule: Day shift, Monday to Friday, 35 hours per week

Tasks

  • Typing, formatting, writing, proofreading, correcting, and printing administrative documents.
  • Opening new contracts and sending contract documentation to clients.
  • Managing receipts, minutes, and other administrative correspondences.
  • Numbering and sending purchase order (PO) forms from engineers.
  • Preparing submission forms.
  • Issuing and sending invoices (via scan, email, or mail) after validation by accounting.
  • Maintaining an Excel database for tracking invoices and payments.
  • Managing office supplies.
  • Managing printers, copiers, and fax machines.
  • Assisting accounting with filing and opening supplier files.
  • Redistributing and printing emails and invoices.
  • Producing photocopies and printing documents on request.
  • Answering phone calls (low volume, with an automated voicemail system).
  • Performing other related tasks as required.

Job requirements

  • At least 3 years of experience in a similar role.
  • A diploma in administration, office management, secretarial studies, or a related field.
  • Proficiency in Microsoft Office Suite.
  • Intermediate proficiency in English to serve an English-speaking clientele 50% of the time.
