Position Information:

The MH Receptionist/Medical Secretary is responsible for answering telephones and transferring calls to staff. Booking initial consultations for psychiatrists and faxing appointment information to family doctors. Assisting other staff as required. Maintain complete confidentiality.

Essential Job Functions:
1. Answer and direct an average of 50 plus telephone calls daily. For Mental Health Services, transfer incoming telephone calls to the appropriate person. Assist with answering any questions about referrals, our services, etc.
2. Respond to emergency/crisis situation, either on the telephone or in person, in a caring and diplomatic manner.
3. Book new consultation appointments for all psychiatrists
4. Provide clerical support for the specialized programs (Day Hospital, Eating Disorders, PEPP) including booking group appointments into Cerner scheduling system, and making reminder calls before the commencement of each group start date.
5. Provide clerical support for Director of Mental Health
6. Provide assistance coverage for Clerical Supervisor.

Qualifications:
• Ontario Secondary School Diploma or equivalent is required
• would be an asset
• Health Care Office Assistant Diploma from a recognized Community College
• Previous experience in a Mental Health setting or previous experience in a physician's office/ health care setting is essential.
• Proficiency in Microsoft Office Suite, including Word, Excel, and Powerpoint.
• Excellent communication skills and demonstrated ability to handle highly confidential information with tact and diplomacy.
• Excellent organizational, typing and computer application skills.
• Able to handle difficult, potentially volatile situations with clients in a calm manner is essential.
• Back office filing and other clerical responsibilities
• Satisfactory vulnerable person's sector criminal background check.
• Internal candidates must have satisfactory attendance and performance appraisal in current position.
• Documented commitment to continuing education through inservice, staff meetings and self-motivated learning.
