Job Description

The Sr. Client Coordinator role will require the individual to have a real estate license and have worked 5+ years within the industry. The successful candidate will work directly with a fee-earner team on one of Canada's highest performing real estate teams. In this role, you will assist the team(s) by preparing written content, performing financial analysis, preparing client reports in accordance with the client requirements, as well as coordinating and preparing pitches/proposals, advertising and marketing with the team Administrative Assistant and sometimes other departments including research and marketing. The Sr. Client Coordinator will also assist the Administrative Assistant within the client/prospect relationship management (CRM) and communication by performing various related tasks related to pursuit, pipeline and finalizing deal management duties on a regular basis in accordance to firm reporting requirements. This role is subject to changing fee-earner, fee-earner team based on the business needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The candidate will support financial analysis, content preparation, survey preparation, pitch and/or proposal coordination, CRM management, tour coordination, run point on certain transaction and lead listings. As well as, coordinate project deliverables and timelines, working directly with fee-earners, as needed. Oversee and execute client reporting requirements.

KEY RESPONSIBILITIES:

CLIENT INTERACTION

  • Lead select transactions or support team with more significant transactions
  • Assist in drafting of offers to lease
  • Coordinate meetings with Client and team
  • Attend client meetings with fee-earner as needed
  • Communicate with Client on behalf of fee-earner to request necessary information
  • Assist in the scheduling of property showings and tours, work with Admin Assistant who will make the calls to coordinate tours.
  • Perform property showings and tours on behalf of fee-earner as needed
  • Prepare reporting per the client requirements
  • Provide status updates to Client as appropriate

PROPERTY LEVEL FINANCIAL ANALYTICS

  • Collaborate with Financial Analyst(s) in development of due diligence, financial analysis, and/or pulling and packaging comps
  • Work with research team, as necessary, in retrieval of comps from systems
  • Interpret insights from financial analysis and develop written reports for clients
  • Manage timelines and deliverables in response to client requests for analysis
  • Work directly with client and fee-earners, as necessary, to capture information requested
  • Develop and maintain deep understanding of market
  • Coordinate go-to-market activities, if necessary

PITCH AND/OR PROPOSAL COORDINATION

  • Assist with pitch and/or proposal coordination as needed
  • Coordinate proposal and deal priorities, communicating priorities to team/fee-earner
  • Work with fee-earner and/or Marketing to develop written content of proposal based on direction from fee-earner as needed

SALES SUPPORT & COORDINATION

  • Coordinate with Administrative Assistant and execute marketing programs (InDesign, PowerPoint etc.) for listings and design materials suitable for newspaper/magazine ads, direct mailers and e-mail distribution i.e. flyers, postcards, newsletter updates, etc.
  • Support completion of presentations/RFP responses etc.., including compilation and coordination with Marketing, Financial Analyst(s) and Research
  • Prepare or work with Financial Analyst to prepare financial analysis reports related to needs of fee-earner
  • Work with Senior Associate and/or fee-earner(s) on reviews and updates to finalize the material
  • Support preparation of RFP responses and competitive matrixes on behalf of fee-earners and distribute once approved
  • Coordinate drafting of leases, contracts, commission agreements, FINTRAC, co-broker agreements, including coordinating with, fee-earner, Legal, Client, and any other party associated with project for approval and execution
  • Work with Administrative Assistant to provide any other administrative tasks required by C&W to facilitate the transaction of C&W real estate business

ASSIST CRM AND PIPELINE REPORTING

  • Manage CRM by overseeing Admin Assistant inputting new pursuits and updating current opportunities as necessary through deal management process
  • Research CRM for conflicts with potential pursuits
  • Work with Admin Assistant and fee earners, as needed, on pipeline reporting

MAINTAIN DATABASES - Oversee Admin Assistant with Database maintenance.

  • Understand and collect updates for new listings, lost listings, and changes to existing listings
  • Review database to ensure accuracy of team's listings
  • Provide updates to Research based on activity
  • Periodically review third party sites to ensure accurate and up to date information
  • Work with Research team to update information, as needed using Site Solutions and other Research databases
  • Provide updates to third party based on open and closed opportunities/listings
  • Respond to Data Requests
  • Review data returned from Research team in response to request from fee-earner to review for completeness and accuracy
  • Provide feedback to Research team based on needs of fee-earner

INVOICE PROCESSING/PAYING AND MANAGING RECEIVABLES - Oversee Admin Assistant in this function

  • Communicate with appropriate party any deal related expenses to ensure proper coding of expenses
  • Collaborate with fee-earner and Revenue Accountant to identify and collect outstanding receivables

BACKGROUND AND EXPERIENCE

  • Possess strong organizational, time management and project management skills with a demonstrated ability to work both independently and within a team environment
  • Real estate license maintained in good standing at all times
  • Bachelor's Degree
  • Knowledge of Microsoft applications such as Word, Excel, PowerPoint, Outlook
  • Knowledge in Adobe applications such as InDesign, Photoshop, Illustrator & Acrobat
  • Knowledge of Salesforce a plus
  • Strong written and oral communication skills
  • Strong analytic math and research skills
  • Ability to take direction from multiple sources
  • Knowledge of commercial real estate terminology and nomenclature
  • Exhibit a high level of professionalism and excellent interpersonal skills
  • Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail
