Career Opportunity

Are you seeking a new career opportunity? We are looking for a Senior clerk to perform a variety of clerical and administrative duties to support the day-to-day operations of the Overhead section in the Streetcar Infrastructure Department. The role also provides coverage for other administrative and support staff, as required.

What You Will Do

  • Coordinate the daily administrative activities of the department/section.
  • Facilitate the procurement of supplies, materials and services for the section/department, i.e. stock requisitions, purchase requisitions, project material notices, purchase orders, materials return forms, inventory change requests, memorandum packing slips and electronic orders, including signing authority.
  • Prepare and/or assist with the preparation of correspondence and/or documentation on behalf of the department/section in accordance with department/section standards.
  • Prepare and monitor labour time sheets for employees and forward to appropriate personnel for processing and ensuring payroll adjustments are made, as required.
  • Assist the Supervisor/Foreperson with scheduling of work assignments, vacation, etc. for employees.
  • Monitor invoices and process payment in addition to issuing purchase order amendments to contracts and/or purchase orders, as required.
  • Scheduling and arranging for pick-up and delivery of parts and materials to users, as required.
  • Generate and compiling reports on various section activities, e.g. daily work reports, completed versus planned work reports etc.
  • May perform other administrative duties and tasks as required and provide back up support as required.
  • Participation in the TTC Customer Service Ambassador Program.

What Qualifications Do You Bring

  • Your education will consist of a completed secondary school education in a relevant discipline or a combination of education, training and experience deemed to be equivalent.
  • Your application will reveal prior administrative or clerical experience in a similar or related work environment.
  • Your application will demonstrate strong knowledge of modern office practices, procedures and equipment.
  • Must have knowledge of purchasing practices and procedures.
  • Prior knowledge with sections of collective agreements (e.g. issuance of clothing, safety shoe allowance, work scheduled etc.) is considered an asset.
  • Strong knowledge of modern office practices, procedures and equipment.
  • Must be proficient in the use of computers, including data entry skills and proficiency with MS Office and other software or applications relevant to the work.
  • You must also have good organizational skills with the ability to meet deadlines and strong interpersonal and oral/written communication skills.
  • Your application will reveal knowledge and experience with financial monitoring, reporting and record keeping.
  • A valid, non-probationary class "G" driver's licence issued by the Province of Ontario is considered an asset.
