About us:

The University Registrar's Office (URO) is a central support team that provides institutional leadership on student financial aid & awards, student accounts, client services & records, student systems and learning space management (LSM) and convocation. The URO works with faculty and divisional registrars to support undergraduate and graduate students throughout the student life cycle and is an advocate and service provider for University of Toronto students and tri-campus registrarial services.

The Learning Space Management (LSM) team has a focus on learning space excellence with stewardship of the University's shared academic and testing space. The team provides leadership on academic scheduling, classroom design, instructional technology and accommodated testing.

Your opportunity:

The Academic Scheduling Team at LSM is a collaborative group that works together to support the academic mission of the University, throughout the year in a diverse series of processes. Reporting to the Assistant Registrar, Academic Scheduling & Testing Services, the team works with divisional contacts, registrarial staff and professors to schedule classrooms and exams, understanding the specific pedagogical needs through different divisions, departments, and professors and uses that knowledge to appropriately manage classroom selection and schedule exams and midterm The team also collects information from their contacts regarding classroom maintenance and accommodations to ensure that classrooms are functioning well and accommodations are supported, and collaborates with departments across the St. George campus to resolve issues & provide academic scheduling support & expertise.

Your responsibilities will include:

  • Probing for information to ensure that scheduling constraints are known
  • Analyzing and documenting room requirements for course delivery; Analyzing and recommending changes to room booking procedures
  • Troubleshooting timetabling and/or room booking conflicts
  • Analyzing departmental room submissions to find efficiencies in space utilization
  • Determining priority of booking requests for various spaces on campus
  • Preparing complex data modelling scenarios to support course and/or exam timetable decisions
  • Coordinating examination timetables
  • Serving as a resource on specific issues to a group of specialists

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum four (4) years of recent and related experience with scheduling operations in a post-secondary setting
  • Minimum two (2) years of demonstrated and recent experience as a user of InfoSilem or another course/exam scheduling software
  • Experience in the development and/or scheduling of courses in an academic division or registrar's office
  • Experience analyzing data and producing reports
  • Experience writing queries to extract data from a database
  • Experience with ROSI or a similar student information system
  • Accurate data entry and keyboarding skills
  • Writing SQL queries, data analysis, and report preparation skills
  • Excellent oral, written communication, and interpersonal skills
  • Superior planning and organizational skills with the ability to manage strict deadlines
  • Advanced skills with Microsoft Office Suite, especially Access and/or Excel

Pay Scale Group & Hiring Zone:
USW Pay Band 12 -- $79,874. with an annual step progression to a maximum of $102,147. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
