Responsibilities and Accountabilities:

  • Manage and implement the Project Documentation according to the rules defined in the Project Documentation Management Plan.
  • Confirm that rules are understood and respected by every Project Management team member.
  • Adapt and implement the Alstom standard documentation structure to the Project.
  • Make sure internal validation of documents is done before submittal to Customer.
  • Implementing document / data management solutions with a primary focus on document control and records management.
  • Creating and maintaining document control procedures and guidelines.
  • Processing documents through all procedural steps in accordance with defined procedures and guidelines.
  • Ensuring that pre-established document control requirements are satisfactorily met through the duration of the project.
  • Providing assistance to users in capturing and locating electronic information.
  • Assisting junior staff and engineering coordinators to ensure effective implementation of project-specific procedures.
  • Manage the documentation delivery in due time to Customer.
  • Alert the Project Management team about next milestones related to documentation issues.
  • Follow Customer and stakeholders’ documentation status.
  • Update the Project document templates when required.
  • Ensure the Project documentation recording in the EDMS.
  • Maintain Project internal and external distribution list.
  • Provide documentation reporting and indicators to Documentation Manager and Project Management Team.
  • Ensure the role of EDMS Key User (if no Site EDMS key user) at Project level:
  • First level support to EDMS users
  • EDMS users list update
  • Training new users, request account creation to EDMS administration team
  • Promoting the Alstom Code of Ethics and adhering to the highest standards of ethical conduct

Qualifications/Requirements:

  • Bachelor’s Degree (BS)
  • 3 - 5 years of experience at the senior role Documentation Management or Minimum 7 years of experience in Documentation Management

  • EDMS tool and environment knowledge
  • Good Communication (oral and written) and interpersonal skills
  • Ability to work with, and contribute as a team
  • Attention to detail
  • Systematic, rigorous, organized, able to multitask
  • Competence in Microsoft Office

Desired Characteristics:

  • Engineering environment awareness
  • Knowledge of Railway Signaling products and systems
