What is the opportunity?

In this role, the Executive Assistant will provide administrative assistance/coordination for the Director, Vice President, and Senior Vice President, Special Loans & Advisory services. The ideal candidate will coordinate administrative and support functions for one or more executives or management personnel.

What will you do?

  • Act as the key contact for the executives that you will be supporting.
  • Calendar management including prioritizing, scheduling and managing conflicts, business travel and accommodation arrangements.
  • Organize both video and in-person meetings. Set up and coordinate business planning sessions, staff meetings, management meetings, and one-on-one's with direct reports, and other support as needed.
  • Support on-boarding of new resources to the group via My Marketplace and Access Manager, including attestations.
  • Process expenses and maintain up-to-date records for the executives and their direct reports. Validate Payroll reports in SAP system. Prepare and process invoices for payment.
  • Prepare presentation materials and meeting agendas, as required. Ensure relevant information is accessible, assembled and prepared for meetings.
  • Coordinate Compliance related responsibilities, Delegated Lending Authorities for wider SLAS Team, eContracts for Third Party providers, and assist with preparation of Audit materials.
  • Pull monthly/quarterly Post Loan Reviews and Excesses. Own Business Impact Analysis (BIA) and Work Shifting test (Recovery Task force) processes.
  • Responsible for periodic updates to SLAS website, as well as all office administration: archiving, stationary and office supply orders, etc.

What do you need to succeed?

Must-have:

  • 5+ years' experience of executive administration or coordinator experience, providing support to senior level management
  • Strong interpersonal and diplomacy skills and comfort in dealing with individuals across all levels of the organization
  • Ability to thrive in a collaborative environment with a strong capability to prioritize activities.
  • Ability to work in a fast paced environment and deal with change and continuously shifting requirements
  • Ability to work efficiently and accurately with minimal supervision
  • Proficiency in Microsoft Word, Power Point, Excel, Outlook
  • Strong organizational skills including ability to organize, plan and schedule activities and strong calendar management/scheduling skills

Nice to have

  • Bachelor degree
  • Solid knowledge of relevant RBC policies and procedures (e.g. vacation and absence management; expense guidelines; travel policy)
  • Navigational knowledge in Synergy and other RBC Credit systems
  • Experience with My Marketplace / Access Manager
  • Experience with Concur
