What You'll Accomplish Together

As the Executive Assistant to the Vice President (VP) Legal Services you'll play a pivotal role in managing a variety of activities with professionalism, collaboration, and confidentiality. Your creativity and positive energy will help shape an engaging and collaborative environment. Here's how you'll make a difference:

Engagement Champion and Collaboration Expert

  • Drive Engagement: Lead creative social events and team engagement activities, infusing positivity and fun into our workplace culture
  • Foster Collaboration: Promote a positive, inclusive environment by encouraging team wellness and open communication, inspiring colleagues to excel
  • Build Relationships: Deliver a best-in-class experience for both team members and clients by building strong relationships and ensuring seamless communication
  • Promote Excellence: Partner with the VP to cultivate a culture of excellence, driving motivation and recognizing team achievements
  • Source of Positivity: Be a beacon of positivity and creativity, fostering an energetic and client-focused atmosphere in all tasks

Innovative Administrative Partner

  • Anticipate Needs: Proactively ensure the VP is in the right place at the right time for optimal effectiveness
  • Calendar Management: Expertly manage the VP's calendar, coordinate travel arrangements, and track follow-up activities to support seamless operations
  • Prepare for Success: Gather and prepare essential materials (presentations, reports, etc.) for meetings and events, ensuring everything is ready in advance
  • Agile Prioritization: Demonstrate agility in a fast-paced environment by efficiently prioritizing tasks and responding to changing demands
  • Expense Oversight: Ensure accurate management and approval of corporate expenses, maintaining thorough records
  • Support Legal Counsel: Provide targeted administrative support to two Associate General Counsel, contributing to team success
  • Comprehensive Support: Deliver timely and high-quality administrative assistance to legal and business teams, ensuring stakeholder satisfaction
  • Versatile Task Management: Handle diverse tasks, including matter intake distribution and team member reporting, showcasing initiative and versatility
  • Document Management: Convert PDFs to Word or Docs, and leverage tools like Adobe Pro to enhance productivity

  • Advanced proficiency in Microsoft Office and Google Workspace, with a willingness to learn iManage, Legal Tracker, and other digital and AI tools

Great-to-Haves

  • Bachelor's degree in Business Administration or Arts, with a focus on Communications and/or Marketing
  • Legal Secretary or Paralegal certificate
  • Serve as a Commissioner of Oaths and/or Notary Public to support legal operations
  • Bilingual in English and French (written and spoken)
