Job Description

  • (Internal Title - Document Control II)
    • Helps in establishing a framework for identifying, collecting, distributing, and filing controlled documents for the project or Program. This involves maintaining document control procedures and participating in the development and roll-out of various document control tools and templates
    • Implement document numbering and file naming standards (or similar) aligning with the clients' policies and governance procedures
    • Implement a document distribution list to identify project or program participants involved in document reviews
    • Implement document control process workflows that will form part of the overall procedure
    • Arrange for meetings to follow up with project team on reviews of outstanding document reviews
    • Provide an interface to IT Support for Document Control issues
    • Collaborate with other project or program disciplines to ensure that all controlled documentation is processed as per the project or program schedule
    • Support program team engagement addressing areas of concern and ensuring continuous improvement in developed procedures, including training and transfer of knowledge
    • Fill in for Project administration personnel to assist with general administrative duties such as drafting, formatting of documents as required

Qualifications

  • Education
    • High School Diploma or General Education Development certificate or relevant work experience
  • Licences or certification:
    • Working towards relevant industry accreditations e.g. AIIM, CIP
  • Experience:
    • 5+ years experience in document management preferable in a engineering and/or construction environment
  • Skills and Competencies:
    • Proficiency in electronic Document Management Systems (EDMS) such as Microsoft SharePoint, ProjectWise, Aconex, or any equivalent document control software
    • Proficiency in Microsoft Office
    • Highly organized and able to multitask and efficiently respond to changing priorities
    • Strong attention to detail and problem-solving skills
    • Good organizational and time-management skills; ability to meet deadlines
    • Excellent communication skills, both verbal and written
    • Able to work independently and as part of a team
    • Experience with assembling controlled documentation for program and projects
    • Intermediate knowledge of document control procedures and filing and record retention systems
