The Coordinator, Equity, Inclusion, Diversity and Anti-Racism will be supporting multiple individuals in a dynamic and fast-paced environment. Exceptional MS Office skills. Exceptional organizational skills and ability to produce high-quality work products (documents, presentations, etc.). French is an asset.
Here is what you will be doing:
Develops and coordinates business processes, workplan activities & deliverables to support key objectives of the Equity, Inclusion, Diversity and Anti-Racism team
Coordination and administrative support
Assists in developing and monitoring program workplans and project-specific schedules.
Develops and manages tracking and reporting processes for Equity, Inclusion, Diversity and Anti-Racism team functions, including reports to Board and CEO
Coordinates activities for implementation of program delivery and event planning, ensuring compliance to the requirement of internal and external standards, procedures, and/or accreditations.
Manages logistics required to support equity activities including booking virtual meetings and providing participation supports as required and maintaining records in keeping with internal policies and standards.
Manages and updates key contacts databases, including development of queries and reports
Provides co-ordination and supports equity team initiatives as required.
Acts as the first point of contact for internal and external calls and inquiries; triaging and tracking requests as required
Produces high-quality documents and written materials to support projects and initiatives for the corporate equity team and other functional areas, as required
Coordinates meetings, appointments, and events as required; handle required meeting logistics
Prepares meeting documents, correspondence, presentations (Power Point), report summaries, and editing reports/publications
Develop, organize, and maintain electronic and paper information filing/retrieval methods, systems, and formats
Providing ongoing troubleshooting support for executives as it relates to meeting management
Work in partnership to maintain the office environment inclusive of all supplies, equipment, and physical environment including its safety
Other duties as assigned
Here is what you will need to be successful:
Education and Experience
Post-secondary diploma in office administration or undergraduate degree in business administration or related field
A minimum of 3 years' experience in related field; experience providing senior level administrative support in a health-related organization is preferred
Extensive experience in a Microsoft Office environment is required
Knowledge and Skills
Excellent verbal and written communication skills
Superior organizational and time management skills
Demonstrated initiative and the ability to work independently and within a team environment
Ability to manage multiple tasks and provide assistance to multiple individuals in the presence of frequent interruptions
Demonstrated ability to prepare briefing reports, minutes, clear correspondence, and summaries of decisions made and further actions identified over the course of a meeting
Excellent interpersonal and customer service skills
Strong problem-solving skills
Ability to use discretion in dealing with sensitive issues and maintaining appropriate levels of confidentiality
Excellent understanding of privacy and confidentiality
