Salary: $53,801 - $67,256 annually (To commensurate with experience and consistent with UHN compensation policy)
Shifts: Day Shift
Status: Temporary Full-time (13 month contract)

Position Summary
University Health Network (UHN) is looking for an experienced professional to fill the key role of Administrative Assistant III supporting the Research Director at the Research Directorate.

The Administrative Assistant III will support the Research Director and the Research Directorate and will interact closely with scientists, laboratory personnel, and administrators to ensure effective research operations.

This position supports general administration of the Research Institute at the Princess Margaret Cancer Centre. The Administrative Assistant participates in various administrative activities to foster effective and efficient communications and best practices across the Research Institute.

Duties

  • Coordinating and maintaining calendar and scheduling for the Director
  • Acting as main contact for the Research Directorate
  • Coordinating, organizing or planning meetings/events
  • Preparing agenda with participant input for distribution
  • Organizing national and international travel itineraries/events
  • Coordinating all aspects of the regular payroll submissions
  • Reconciling finances as well as managing expenses on a monthly basis
  • Maintaining and updating databases
  • Drafting emails and other documents
  • Performing other duties consistent with the job classification, as assigned

Qualifications

  • At minimum, completion of a Community College Diploma in General or Medical Office or equivalent Administration required
  • Four (4) years or more related administrative assistant experience required
  • Comprehensive knowledge of health care, organizational/budgeting practices, procedures and standards
  • Expert Microsoft Office skills including Outlook, Word, PowerPoint and Excel
  • Demonstrated ability to function as a productive team member
  • Ability to maintain confidentiality
  • Ability to produce high-quality, detail-oriented, accurate work, in accordance with Hospital standards
  • Ability to work well under pressure and use good judgment in assessing and responding to difficult situations
  • Ability to establish, maintain, and adhere to priorities
  • Experience working in a research/health care environment and knowledge of medical terminology preferred
  • Excellent organizational and time management skills required
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communications skills required
