Job Description

Salary: $24.82 - $31.02 per hour (To commensurate with experience and consistent with UHN compensation policy)

Status: Temporary Full-Time

Position Summary
Administrative Assistant II exercises judgment and independence to provide complex administrative support services to Clinical Research Unit Director and Scientist, staff and trainees at the Donald K. Johnson Eye Institute. The Donald K. Johnson Eye Institute is home to the largest and most comprehensive ophthalmology care centre and vision research institute in Canada. Our established team of basic and clinical investigators, with research interests in areas, such as molecular mechanisms of eye development and disease, photoreceptor transplantation, eye movement, retinal imaging and vision rehabilitation, are tirelessly conducting cutting-edge research and developing new treatments for blindness and vision loss. The new Clinical Research Unit at the Donald K. Johnson Eye Institute is home to various clinical trials and studies in retina, cornea, glaucoma, and vision rehabilitation.

Duties

  • Manage and maintain calendar/scheduling for Clinical Research Unit Director and Scientist
  • Develop, organize and maintain electronic and paper filing/retrieval methods, systems or formats
  • Monitor and analyze department budgets, invoices, expenses/income
  • Support establishment and maintenance of clinical trial agreements (CTAs), study contracts, institutional protocols
  • Perform clerical support functions
  • Interface with clinical research team to support trials and studies
  • Perform cross-functional responsibilities, as required
  • Perform other duties consistent with the job classification, as assigned
  • Ensure efficient operation of the office
  • Exercise considerable judgment and work independently in providing complex administrative support
  • Interact with senior management across multiple sites and interface with clients and vendors

Qualifications

  • Completion of Community College Diploma in Administration or recognized equivalent at minimum
  • Completion of a Bachelor's degree an asset.
  • At minimum, 2-3 years of practical and related experience
  • Excellent organizational and time-management skills
  • Ability to produce high quality work
  • Ability to maintain confidentiality
  • Ability to work independently, but also function as part of a team
  • Ability to work well under pressure and to use good judgment in assessing difficult situations
  • Experience working in a health care environment an asset
  • Very good interpersonal and customer service skills
  • Very good verbal and written communications skills
  • Ability to maintain confidentiality
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Knowledge of medical terminology an asset
  • Preparing reports and presentation
  • Ensuring expense transfers, reimbursement, invoice payment and office account management
