The Administrative Assistant will provide comprehensive administrative support to the Chairs of the Chemical, Civil, and Mechanical Engineering departments. This role involves managing appointments, meetings, and correspondence while ensuring efficient communication between faculty, staff, students, and prospective students. The successful candidate will also be responsible for maintaining departmental and student records, handling inquiries, and providing confidential support to students. General office and administrative duties are a key component of this position, requiring strong organizational and communication skills.

Responsibilities


  • Provide complete administrative services to the Chairs of Chemical, Civil, and Mechanical Engineering from arranging appointments, meetings, correspondence, confidential reports and proposals
  • Provide information, directions, procedure, policies, schedules, etc to faculty, staff, students, and prospective students
  • Receive and respond to inquiries
  • Set up and maintain the Chairs department and student files
  • Maintain records of student admissions forms
  • Provide confidential liaison between students and the Chair
  • General office and administrative duties

Qualifications


  • Completion of a minimum 2 year office administration program
  • Post-secondary certification or degree is preferred
  • Good communication and interpersonal skills are a priority
  • Prior knowledge of Microsoft Excel and Windows XP software
  • Ability to work under pressure
  • Ability to meet deadlines
  • 2 years of relevant experience
