RVA is seeking an experienced and highly organized Executive Assistant to support the President and Senior Management Team based in our Toronto office.

The candidate will play a pivotal role in supporting the President, using their exceptional organizational skills and attention to detail to manage the President's busy calendar and ensure all meetings and appointments run smoothly. The ability to prioritize tasks, manage confidential information, and communicate effectively will be crucial in coordinating and facilitating the President's activities as well as support select members of our Senior Management Team.

The ideal candidate will be initiative-taking, resourceful, and able to anticipate the needs of our President. Additionally, the candidate must have a pleasant and enthusiastic demeanor and be a quick thinker with a common sense approach to problem solving.

Responsibilities:

  • Respond to projects, activities and inquiries as delegated by the President, perform a variety of highly responsible administrative duties requiring independent judgment and a high level of confidentiality;
  • Screen requests and identify issues to determine priorities;
  • Compose, prepare and proofread correspondence, minutes and presentations;
  • Conduct research and provide detailed analysis on diverse topics as requested;
  • Manage the President's calendar effectively, prioritize appointments, and handle scheduling conflicts with diplomacy;
  • Coordinate travel, accommodations and itineraries for the President
  • Plan and organize special corporate events;
  • Other responsibilities and assignments as delegated.

Qualifications:

  • Minimum 15 (fifteen) years experience in a similar executive support role.
  • Bachelor's degree or college diploma in business administration, communications, or a related field.
  • Advanced verbal and written communication skills and superior interpersonal skills to interact with different stakeholders with tact, diplomacy and discretion.
  • Ability to effectively manage and prioritize multiple, simultaneous and complex assignments.
  • Extensive technical skills in word processing with advanced knowledge of MS Office and Power point
  • Strong organizational, time management and critical thinking skills with impeccable multi-tasking abilities. Ability to anticipate needs.
  • Professional and polished demeanor with strong attention to detail.
