Job Description

This position is 35 hours per week.

Under the direction of the Supervisor, Fleet Services, the Administrative Assistant - Fleet will be the first point of contact that interacts with customers and vendors, from initial greet, to service explanation, to prioritizing work following our Fleet work-flow procedures. Other various administrative duties include updating, assisting with the Town's asset management system by gathering and inputting information for vehicles and equipment; creating, updating, tracking and reconciling work orders; maintaining vehicle files; reconciling monthly visa purchases; conducting research; and creating various reports as required.

Job Requirements
  1. Post-secondary diploma in Office Administration, Business Administration or a program in a directly related field and experience in an administrative, fleet or financial environment and/or a combination of education and experience.

  2. Basic automotive knowledge in order to liaise with the appropriate parties.

  3. Demonstrated research skills to undertake short term research assignments and support the completion of information and assist in the preparation of reports.

  4. Demonstrated ability to work as a team member as well as the ability to work independently and with minimum supervision to meet deadlines, perform multiple tasks and to respect confidentiality. Must be able to respond appropriately to requests as they arise.

  5. A high level of proficiency in a computerized environment including Microsoft Office (Word, Excel, Outlook), PVC Net Procard Program (VISA), GIS and other aspects of an automated office environment.

  6. Demonstrated ability to effectively use or learn various software applications such as JD Edwards (Work Orders, Time Entry, Equipment Entry, Asset Management, Material Issues, Purchasing, Financial Reports).

  7. Excellent interpersonal, analytical, strong organizational, problem/complaint resolution skills, and ability to manage multiple conflicting demands in a professional manner.

  8. Demonstrated excellent written and verbal communication skills; attention to detail and accuracy is necessary a comfort level with numerical data entry including time entry and accounting.

  9. Demonstrated time management skills with ability to prioritize demands, meet customer service standards and deadlines. Previous experience requiring a high level of multi-tasking.

  10. Demonstrates professional customer service skills when dealing with the public and internal/external clients.
