Sr. Executive Administrative Assistant

To provide administrative and coordination support to the Country Division Head (CDH), ensuring smooth/efficient running of the CDH's office and related activities.

Bayer is committed to a flexible hybrid working environment. This is a permanent position based out of Mississauga, Ontario. This position requires the candidate to be able to speak English and French fluently.

What you will do:

Providing Administrative Support within the CDH's Office

  • Administer T&E reports, mileage reconciliation, purchase orders, invoice approvals, tracking of budget expenditures, catering, etc.

  • Prepare CDH's correspondence, support with presentations (CDH and Divisional presentations), and ensure all relevant material is available before meetings

  • Organize all travel arrangements for CDH

Organizing Calendars and Travel Arrangements

  • Developing and maintaining rolling calendar for CDH's office

  • Organizing CDH's daily appointments for CDH's office

  • Prioritizing inbound communication via all channels, including in-person

  • Arranging 'working hours' to deliver an efficient, prioritized, and manageable schedule

Coordinating Meetings and Projects

  • Planning of all regular meetings, including itineraries, agendas and room set-up, both on-site and off-site

  • Support the setup and execution of LT meetings, divisional town halls and other regular updates

  • Support development and maintenance of agendas, minutes and action lists

  • Coordinate and liaise with US EA for Bayer Leadership - meetings and travel to Canada

  • Coordinating activities with Bayer Inc Executive Committees and their assistants

  • As requested, participating in committees and working groups

External and Internal Liaison

  • Keeping CDH informed about important occurrences within the organization

  • Handling internal and external inquiries, and referring the appropriately in absence of the CDH

  • Participate in and contribute to Bayer Inc Coordinator Network

  • Coaching new AA on office procedures

  • Interacting and liaising with other Bayer Departments, within Canada and internationally

Who you are:

  • College or university education

  • 10 years administrative support experience including providing support at managerial level or equivalent work experience

  • Must have the ability to independently respond to correspondence that may require detailed analysis of information and/or collecting data from other areas.

  • Must be a self-starter

  • Proven ability in project management including the ability to plan, organize, schedule and prioritize

  • Ability to maintain confidential or sensitive information, appropriately

  • Superior interpersonal, communication and customer service skills.

  • Excellent team player with initiative to learn and handle multiple, fast paced projects/assignments

  • Ability to work independently and under pressure and tight timelines

  • Advanced computer skills including Microsoft Office, Microsoft Teams, DocuSign, Concur, purchasing and invoicing systems, Adobe DC Acrobat Pro, Microsoft Teams, and Salesforce

  • Advanced experience with Mac OS and Apple iOS is an asset

  • Proven experience in balancing commercial priorities against day-to-day requirements and decisions

  • Excellent understanding and application of internal procedures and practices relating to personnel and operations

  • Ability to speak fluent French is a requirement
