The South West Detention Centre seeks Receptionist/Mail Clerk to provide reception and clerical support services on-site located at 4819 8th Concession Rd., Maidstone, ON to institution staff, inmates and the general public.

What can I expect to do in this role?

You will:
• screen and direct multiple-line telephone switchboard calls to the institution, transferring calls as required;
• receive visitors and verify identification, notifying appropriate staff members of visitors;
• coordinate video visits and booking of time slots with the public and stakeholders;
• assist with coordination of face to face and in person visits;
• process incoming and outgoing mail;
• type a variety of material and compose routine correspondence;
• file and maintain ongoing inventory and order stationery as required.

How do I qualify?

Administrative Knowledge and Skills:

• You have knowledge of multiple-line switchboard and receptionist procedures to response to telephone inquiries, direct callers and process staff and inmate mail.
• You demonstrate professionalism, tact and courtesy to respond to telephone inquiries, direct callers and process staff and inmate mail.
• You have the ability to acquire knowledge of institutional policies and procedures relating to the release of information for institutions.

Mailing/Courier Knowledge and Reasoning Skills:

• You have knowledge of relevant Canada Post regulations and mail and courier procedures.
• You can prioritize incoming calls as well as recognize and act upon unusual calls.
• You have analytical skills to identify incoming and outgoing mail and determine correct destination of incorrectly addressed mail.

Communication and Technical Skills:

• You have strong oral communication skills to screen and direct calls to the institution and interact with colleagues, outside callers and visitors.
• You have experience with a personal computer to complete word processing and produce various typed materials.
