Who we are:

The Primary Health Care Branch of the Ministry of Health plays a crucial role in the province's healthcare system. It focuses on integrating and connecting primary care services to ensure comprehensive, high-quality care for individuals at every stage of life.

The branch helps advance primary care by planning and implementing programs and services at local and regional levels and overseeing contracts and accountabilities for Interprofessional Primary Care Teams. We also support quality improvement initiatives and performance measurement to ensure high standards of care.

About the job

In this role, you will:

• Organize and log incoming and outgoing correspondence.
• Direct and respond to inquiries from staff.
• Prepare a variety of material including routine correspondence, reports, spreadsheets, minutes and presentations.
• Coordinate travel and meeting arrangements.
• Provide financial administrative support by processing invoices and expense claims.
• Maintain hardcopy and electronic files, documents and manuals, and archive records.
• Participate in projects related to the development and implementation of administrative processes and systems.

What you bring to the team

Mandatory requirements

• Typing of 40 words/minute.
• You must possess oral French language skills at the advanced level. Your proficiency level will be confirmed before hire

Administrative knowledge:

• You understand administrative service principles, methods and practices to provide administrative support services.
• You have knowledge of systems and procedures related to the administration, purchasing requisitions, invoices and expense claims.
• You can operate standard office equipment such as photocopier and facsimile.
• You have the ability to maintain and archive computerized and hard copy records.

Organizational, problem-solving and analytical skills:

• You can determine work priorities and respond to multiple work demands with conflicting deadlines.
• You can review documents for accuracy and completeness.
• You have proven arithmetic skills to check invoices/travel claims.
• You can determine the appropriate format for the preparation of a variety of documents.

Communication and interpersonal skills:

• You can prepare standard correspondence.
• You can gather appropriate information to respond to internal and external clients.
• You have demonstrated verbal communication and interpersonal skills, diplomacy and tact to respond to general inquiries.
• You can participate and work collaboratively as part of a team.
• You can work independently to meet deliverables in a fast-paced environment with multiple priorities.

Computer skills:

• You are familiar with administrative and financial systems.
• You are proficient with computers and software applications (e.g. Microsoft Office and Acrobat Reader), including software scheduling, word processing, database management, spreadsheets and presentations.
