About the Job

As a Trucking Administrator you will perform a variety of clerical duties, providing administrative support to the trucking division and finance team. The incumbent enters and maintains payable and receivable invoices for the trucking division in addition to ensuring labour hours are entered, reconciled and balanced weekly.

Reporting directly to the Manager of Trucking Division, based out of our Kemble location.

What You'll Be Doing

  • Manually enter all external invoices for hauling to various locations.
  • Payroll administration and verification of employee hours and job cost allocation.
  • Responds to, and investigates, customer account inquiries to avoid delays in collection of revenues and solve potential customer disputes.
  • Liaises with sales and operational staff to collect and reconcile billing information. Prepares and prints invoices for mailing to ensure invoices are accurate and issued on a timely basis to avoid delays in payment.
  • Create various invoicing reports and manually prepares special invoices as required.
  • Handle all collection calls and A/R as necessary specific to trucking division.
  • Supports sales, operations, and finance department staff as necessary to complete reporting or filing duties in a timely manner.

Here's What You Need

  • Minimum high school graduation or equivalent level of education.
  • Post secondary administrative and accounting education or training preferred but not required.
  • Demonstrated customer service skills to answer inquiries and resolve issues.
  • Demonstrated ability to pay close attention to details makes sure work is done correctly and thoroughly. Keeps accurate records.
  • Basic numeric skills to perform accurate work.
  • Advanced computer software skills (i.e. MS Word, Excel, Database Management) to efficiently and effectively produce reports as necessary.
  • Communicates with clarity, verbally and in one on one or group situations, or over the telephone
