About the Role:

The Administrative Assistant role at Operatic Agency is a key support position that ensures the seamless execution of day-to-day operations within our pharmaceutical department.

This role is ideal for an individual who is detail-oriented, thrives in a fast-paced environment, and enjoys working with multiple stakeholders to keep things running smoothly.

You will provide administrative support to the leadership team and broader company, ensuring efficiency and organization across departments.

What You'll Be Doing:

Administrative & Organizational Support:

  • Managing calendars, scheduling meetings, and coordinating appointments
  • Preparing meeting agendas, taking notes, and following up on action items
  • Handling correspondence, emails, and internal communications
  • Maintaining and organizing files, records, and documentation
  • Assisting with office management tasks, including ordering supplies and coordinating with vendors

Project & Task Coordination:

  • Supporting internal and external projects by tracking deadlines and deliverables
  • Assisting with report preparation, presentations, and data entry
  • Coordinating travel arrangements, accommodations, and itineraries for business trips
  • Helping organize company events and meetings

Relationship Management:

  • Acting as a liaison between departments and external stakeholders
  • Providing professional and courteous support to clients, vendors, and team members

What You'll Bring To The Role:

  • A minimum of 2 years of experience in an administrative, office management, or support role
  • A diploma or degree in Business Administration, Office Management, or a related field
  • Strong organizational and time management skills
  • Exceptional written and verbal communication abilities
  • High attention to detail and problem-solving skills
  • Proficiency in Google Workspace (Gmail, Google Calendar, Google Docs, Google Sheets, Google Slides) and other relevant office tools
  • Ability to handle confidential information with discretion and professionalism
  • A proactive attitude and ability to work independently
