About the job
As an Administrative Assistant with the Victim/Witness Assistance Program (VWAP), you'll help support victims and witnesses of crime. In your first six months, you will:
• Answer Questions: Help clients, justice workers, and community agencies by providing information and directing complex cases to the right VWAP staff. • Assist Clients in Crisis: Calm and support distressed clients, using your empathy and communication skills to understand their needs and guide them to the right resources. • Manage Case Files: Review legal documents and referrals, flag important cases, and gather necessary information to support the VWAP team. • Keep the Office Running Smoothly: Set up and update confidential files, manage office supplies, and ensure office equipment works properly. • Organize Meetings and Appointments: Schedule meetings, prepare agendas, and keep track of appointments for the Manager and Program staff. • Improve the Program: Identify areas for improvement and suggest ways to make the VWAP more efficient and effective.

• Typing to Ministry standards (50wpm)
Administrative Knowledge and Skills:
You have the ability to:
• understand office administrative processes, including records and file management, office supplies and equipment procurement, and correspondence control • learn and understand practices and procedures to provide accurate, non-confidential information in response to general inquiries from clients, courts, counsels, and community agencies. • reconcile travel claims, office expenditures, and vendor invoices
Communication, Interpersonal and Customer Service Skills:
You have the ability to:
• respond to routine and non-routine inquiries from clients, justice sector stakeholders, and community agencies with tact, sensitivity, and diplomacy • prepare routine correspondence and proofread written communications for accuracy in content, grammar, spelling, sentence structure, punctuation, and format • work effectively within a team environment
Analytical, Problem-Solving and Organization Skills:
You have the ability to:
• know when to defer serious client issues, calendar conflicts, irresolvable expenditure reconciliation issues, persistent requests for confidential information, and matters not covered by established procedures and guidelines to the manager for resolution • prioritize and organize information and manage bring-forward filing systems • arrange meetings and maintain appointment schedules and calendars • multi-task to meet service demands • work with multiple stakeholders to develop and maintain systems for coordination and organization of services
Technical Skills:
You have the ability to:
• be proficient with various computer software (e.g., Microsoft Office: Word, Outlook, Excel, PowerPoint; spreadsheet applications; database systems) to prepare correspondence, input data, and collect information for statistical reporting • utilize working knowledge of internet and web-based applications to access information related to general office administration
