Job Description:

What are we looking for?

  • An exciting opportunity for a self-directed individual to work with eight senior leaders and provide exceptional segment coordination, executive leadership and administrative support, work on P&O projects and internal communications projects. This role is dedicated to Pet Nutrition, but also provides the opportunity to work with all One Mars Canada segments. The successful candidate must thrive in a fast- paced environment and prioritize all assigned responsibilities proactively and be adaptable in managing the complex need of multi stakeholders with discretion. As an integral associate to Pet and One Mars segments, you will be responsible for efficient management of the segment leadership calendars and agenda, meeting and events planning and organization, segment communication and P&O support to provide quality outputs.

What will be your key responsibilities?

  • Support Canada Pet Nutrition (PN) leadership team on annual business cycle meetings, minutes, next steps and agenda planning and coordination.
  • Support Canada PN leaders in calendar management, travel arrangements and expenses.
  • Coordinate, schedule, plan and organize logistical details for the segment events, meetings and support One Mars events at Bolton including Town Halls, seasonal events etc.
  • Owning, preparing, updating and distributing business documentation.
  • VIP agenda management.
  • Invoice processing (Ariba).
  • Communicate with internal and external business associates, prioritizing and directing inquiries to appropriate resources.
  • Support P&O in project work including but not limited to Mars Stars & other recognition programs, onboarding, early talent programs, and Great Line Manager experience.
  • First point of contact for associates on general questions on systems and policies, resolving first tier issues and escalating as appropriate. Make recommendations based on associate feedback to site leadership team to help improve associate relations and engagement.
  • Collaborating with the internal Comms team to keep associate facing segment specific communications up to date and participate in planning/execution of activities (bulletin boards, screens etc).

  • Manages Confidentiality.

  • Customer Oriented/Adaptable and Agile.
  • Very good at Prioritizing.
  • Bilingualism in French is highly preferred.
