This position will support the newly established Legal Services department at Ontario Health atHome. The inaugural position will work alongside the Vice President, Legal Services, and the Director, Legal Services, to establish and build an internal legal services team to support Ontario Health atHome's legal service's needs.

This is a pivotal role for the organization at a unique time. As a key member of the newly established Office of the Vice President, Legal Services, you will support the organization to provide a critical function that will support our core business of patient care and ultimately enable home care modernization. This position will provide administrative support of the legal operations to the Director, Legal Services and maintain effective working relationships with team members and partners across Ontario Health atHome, Ontario Health, clients and vendors.

What will you do?

  • Coordinate administrative functions of the Legal Office including establishing and tracking internal protocols, tracking systems, document management, file management and administrative policies/procedures
  • Support business processes to address the legal requirements for OH atHome functions, including Patient Service and litigation files, Patient Care Contracts, Corporate Services, Corporate Commercial, Privacy, Human Resources, and Labour Relations.
  • Assist in the preparation, compilation and management of documents, letters, affidavits, filings, contracts, MOUs and so on, ensuring adherence to legal style, format, technology (including AODA requirements), terminology and proofreading for accuracy.
  • Act as a point person for Consent and Capacity Board (CCB) and Health Services Appeal and Review Board (HSARB) to support scheduling of hearings.
  • Maintain appointment schedules, calendars, organizes meetings with diverse partners and makes travel arrangements as necessary.
  • Reviews incoming materials to determine action required; follows up and advises director of legal services, regarding problems, issues and recommended action
  • Coordinate meetings and solve conflicts among schedules
  • Coordinate, research, organize and prepare briefing notes and relevant finance materials
  • Adhere to document management standards and maintains SharePoint site for legal department
  • Initiate, plan and execute a variety of special projects as required
  • Update, maintain and report on Legal Office activities.
  • Assume other legal and management duties as assigned.

What must you have?

  • Post Secondary Education
  • Minimum 3 - 5 years of experience supporting Senior Leaders or Legal Counsel
  • Proven ability to develop clear, concise and comprehensive communication materials
  • Extensive experience using Word, PowerPoint, Excel, SharePoint and Outlook
  • Ability to work proactively and without supervision
  • Proven ability to respond to a wide variety of complex administrative issues and deal with unclear situations, tight timelines and conflicting demands
  • Excellent judgment in setting priorities and determining action
  • Exceptional organizational skills and adept at balancing major concurrent tasks and projects
  • Excellent verbal and written communication skills to work with a range of leaders and staff across the organization
  • Superior interpersonal, oral and relationship management skills
  • Working knowledge of FIPPA, PHIPPA and Privacy procedures, policies and legislation

What would give you the edge?

  • Knowledge of home and community care
  • Knowledge of procurement, conflict of interest, freedom of information and privacy law in the health sector
  • Fluency in French or another second language would be an asset

Salary

  • $57,919 to $69,159 annually
