Job Summary
The Department of Psychiatry is a large, complex clinical and academic department that provides patient care, delivers education and conducts research in the area of psychiatric illness and treatment. The department is an administrative unit of three separate institutions: Dalhousie University, Faculty of Medicine, the Central Zone of Nova Scotia Health and IWK Health. Reporting to the Operations Manager, the Administrative Coordinator is responsible for providing administrative support to the education and research program(s) of the Department of Psychiatry.

Key Responsibilities
  • Act as the principal contact and primary resource for research financial accounts in the department. Communicate with principal investigators, financial services/accounting departments at Dalhousie and NSH concerning all aspects of research accounting.
  • Monitor all financial accounts to maintain and support the activities of research. Approve and process financial transactions related to the operation of research accounts; including deposits, payment of invoices, reimbursements, payroll, travel claims, petty cash, and cheque requisitions.
  • Conduct monthly reviews to ensure accuracy for all research accounts in the department. Highlight concerns to principal investigators and initiate corrections.
  • Advise researchers on institutional hiring practices, pay rates, and budget restrictions to facilitate hiring new research staff.
  • Assist with organization and scheduling of meetings for various Dept of Psychiatry committees. Responsible for establishing virtual and in-person meetings and providing direct support to Committee chairs.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Business/Office Administrative program with a minimum of three years' related work experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word, and Excel).
  • Excellent professional and interpersonal communication, time management, attention to detail, multi-tasking, and organizational skills.

Assets
  • Previous experience in a research environment.
  • Knowledge or experience of a health environment or a university setting.
