Job Summary
The Faculty of Arts and Social Sciences (FASS) is dedicated to delivering the highest quality arts, humanities and social science education in Canada consistent with our standing among the top fifteen universities in the country. Reporting to the Director, Finance and Administration, the Administrative Coordinator provides efficient front-line service to students and faculty members and supports Program Coordinators of the multidisciplinary programs including Black and African Diaspora Studies, Canadian Studies, European Studies, Gender and Women's Studies, Indigenous Studies, Law, Justice and Society, and the Certificate in Intercultural Communication.
Key Responsibilities
  • Acts as the first point of contact for the multidisciplinary office, responds to inquiries in person, by telephone and email, and directs inquiries appropriately.
  • Monitors program operating budget accounts, including processing forms for payments or recoveries to the accounts. Reconciles the accounts monthly to ensure compliance with budget allocation. Provides Program Coordinators with monthly reports on the status of the accounts and other administrative updates.
  • Processes payroll forms for part time instructors and teaching, research and student assistants, and coordinates hiring processes.
  • Coordinates the timetable process for the programs. Works with relevant departments to ensure that cross listed courses are included in the timetable.
  • Acts as a resource to students, assisting with enrolment issues, course add/drop procedures and section changes.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
  • Business/Administrative Professional diploma with approximately three to five years' related work experience (or equivalent combination of training and experience).
  • Excellent communication, organization and interpersonal skills, attention to detail and the ability to multi-task.
  • Demonstrated strong written communication skills and the ability to work autonomously are vital to this role.
  • Experience in successfully coordinating and supporting administrative and operational processes, projects, and events.
  • Proficiency in MS Office applications (Word, Excel, Outlook) and an aptitude for learning new web-based systems.
Assets
  • Experience in higher education or a similarly complex organization (government, health, etc.).
  • Knowledge of and ability to use Banner, Timetable, Navigator, and Electronic Personnel Action Forms.
