Job Summary
The School of Communication Sciences and Disorders is one of ten units that make up the Faculty of Health and offers nationally accredited Master's degrees in both audiology and speech-language pathology. Reporting to the Administrative Manager, the Administrative Assistant provides administrative services to the students of the School of Communication Sciences and Disorders (SCSD), the general public, the school's director, full- and part-time faculty, administrative staff, academic coordinators of clinical education, sessional lecturers, and casual staff.
Key Responsibilities
  • Act as receptionist with associated responsibilities for the School of Communication Sciences and Disorders and assist with the coordination and organization of SCSD special events.
  • Check-in clients using Client Software for the school's Audiology and Speech-language Clinics and ensure clients understand and sign consent forms.
  • Maintain working knowledge of website management software and routinely review information on the website and update as necessary; solicit information from appropriate sources; post news and upcoming events; remove outdated items.
  • Hold and be responsible for a purchasing card. Perform web research in support of pricing for equipment/test materials/stationery supplies or contact appropriate distributor by phone/email.
  • Troubleshoot problems with faculty and staff computers; contact helpdesk or computer support personnel as required.
  • Ensure student lounge computer is free of personal downloads and appropriate virus protection is maintained. Perform monthly maintenance on teaching laptops; ensure Windows updates and virus protection are current.
Note
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/office/medical administration diploma, with approximately two to three years' related experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word and Excel).
  • Excellent teamwork and interpersonal skills.
  • Exemplary demonstrated communication skills (verbal and written) with the ability to interact with, support, and clearly convey information to a wide range of individuals with complex and diverse needs.
  • Strong attention to detail, multi-tasking and organizational skills.
Assets
  • Knowledge of or experience in a university and/or medical environment.
