What will you be doing!

  • Supporting departmental bi-weekly, monthly, quarterly, and annual reporting.
  • Assisting departmental staff as required in preparing high-quality documents through preparing, processing, and formatting documents, forms, and other correspondence.
  • Supporting the department in the operation and maintenance of department record-keeping systems.
  • Acting as assistant to the department by helping to organize their time, i.e., arranging/maintaining schedules of meetings, maintaining MS Outlook calendars, arranging travel, scheduling appointments, assisting in the preparation of presentation material and in the setup of equipment.
  • Purchasing office supplies and other operating materials for the department.
  • Providing back-up to WL Fire Protection Department as required.
  • Providing back-up to WL Fire Operations Admin as needed.
  • Facilitating staffing issues and handling sensitive and confidential information.
  • Assisting the team with monitoring and maintaining employee training records and scheduling training as required.
  • Completing general office duties, including typing, photocopying, maintaining office equipment, restocking supply cupboards, scanning, booking conference rooms and arranging catering.
  • Handling all aspects of communications, such as responding to queries, internal and external telephone inquiries, and email communication.
  • Composing, formatting, and issuing correspondence, agendas, minutes of meetings, data, and presentation material.
  • Maintaining department and electronic filing systems and managing public folders and shared areas.
  • Other duties as assigned by your manager.

What we are looking for:

  • Education
    • Secondary school graduate, plus one (1) year post-secondary in Office Administration or other similar program, or the equivalent in experience.
  • Experience
    • Minimum of five (5) years of related experience.
    • Experience in document control would be an asset.
    • Experience with DevonWay, ATOM, MS Access, and Visio would be an asset.
  • Knowledge, Skills & Abilities
    • Excellent interpersonal, written, and oral communication skills are essential.
    • Demonstrate tact, diplomacy, trust, and discretion in handling of sensitive and confidential information.
    • Demonstrated ability to use initiative and apply good judgment in an environment of changing and often conflicting priorities.
    • Knowledge of Quality Assurance and regulatory requirements would be an asset.
    • Must have exceptional organizational skills, the ability to prioritize, and be able to effectively manage time.
    • Ability to understand complex and detailed information is essential.
    • Detail-oriented and conscientious about accuracy while still being able to meet deadlines.
    • Excellent interpersonal communication skills and proven ability to maintain successful working relations at all levels within the organization and with external stakeholders.
    • Highly motivated and able to work with minimal supervision.
    • Must possess good knowledge of the correct usage, spelling, and punctuation and be highly experienced and proficient in editing and handling large documents.
    • Must have a sound knowledge of computers and the ability to understand, use, apply, and combine various software, such as the MS Office Suite (Word, Outlook, Excel, and PowerPoint).
    • Must understand and be able to navigate the use of shared document storage areas.
    • Must have a working knowledge of office equipment such as laser and colour printers, FAX machines, photocopiers, and scanners.
  • Security Clearance Eligibility Required
    • Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's "Standard on Security Screening" and the "Policy on Government Security."

Working Conditions:

  • We have a compressed work week, which consists of a four-day work week and ten hours a day - starting at 6 am.
