We're looking for an Export Documentation Specialist to join our head office located in Vernon, British Columbia. Our head office houses Tolko's corporate services groups including Sales, Marketing & Logistics, Finance, Accounting & Credit, IT, Procurement, and Human Resources.

Our ideal candidate has the following qualifications:

  • Minimum of 2 years' experience in export documentation.
  • International Credit education, e.g., ICTF (International Credit and Trade Finance) is an asset.
  • Strong attention to detail and ability to notice discrepancies in data.
  • Ability to effectively manage competing priorities in a high-pace, continuously changing work environment.
  • Basic to intermediate competency in Excel and MS applications.
  • Experience in Dynamics365 is an asset.
  • Effective communication skills.
  • Works collaboratively with other team members.

In this role, you will:

  • Ensure export documentation management and compliance for all international sales with 100% processing accuracy.
  • Monitor shipping cut-offs, Lulu EDI uploads, tag issues, tracking of container rolls and load plans.
  • Oversee Phytosanitary Certificate requests and coordinate required physical inspections with CFIA.
  • Manage Heat Treat Certificate oversight and quarterly in-person audit compliance (PLIB).
  • Check, monitor, and process export Letter of Credit documentation utilizing Trade Technologies platform.
  • Monitor and manage daily email communication to ensure all required documents to clear customs and meet documentation deadlines.
  • Maintain credit insurance compliance while adhering to Tolko's internal credit policy on all export transactions.
  • Maintain accurate records and files of all export documentation and related correspondence.
  • Handle daily administration tasks such as maintaining and ordering carrier BOL paper, DMS scanning, and making courier arrangements to banks and foreign customers.
