The Workplace Experience Assistant plays a vital role in fostering a welcoming, productive, and engaging environment for employees and visitors. This individual supports the daily operations of the workplace, ensuring that facilities, services, and events align with company values and create an exceptional employee experience.
In this role, you can expect to be involved in:
Workplace Operations:
Serve as the first point of contact for employees and visitors, ensuring a professional and friendly reception.
Maintain meeting rooms, kitchens, and common areas to ensure cleanliness and organization.
Monitor and maintain stock of office, kitchen, and first aid supplies.
Proactively monitor and report maintenance and repair needs for office spaces, equipment, and furnishings, ensuring swift resolution of any identified issues.
Stay informed about upcoming repairs and accompany vendors to designated locations as needed.
Support onboarding and offboarding processes, including preparing desks, creating and deactivating keycards, managing new hire swag, and ensuring proper collection of company property during offboarding.
Assist with security key card operations, including creating new keycards, deactivating lost or inactive keycards, and ensuring appropriate access levels are assigned to employees.
Assist with ad-hoc facility projects as needed.
Employee Experience:
Assist with employee engagement initiatives and events of all sizes, including themed celebrations like Halloween and St. Patrick's Day, as well as large-scale company-wide events such as Summer and Holiday parties, to ensure their success and promote a positive workplace culture.
Respond to employee inquiries and feedback regarding workplace issues, escalating concerns as needed.
Administrative Support:
Organize catering for meetings, office lunches, and playtests.
Assist with booking meeting rooms and preparing spaces for events or team needs.
Manage voicemails and ensure timely responses.
Manage mail and package delivery, ensuring timely distribution, and handle shipments and courier scheduling.
Perform other administrative duties as needed to support the Workplace Experience team.
Health and Safety:
Assist with emergency drills and ensure preparedness plans are up-to-date.
Monitor inventory of first aid supplies and safety equipment.
To be successful in this role, your background includes:
High school diploma or equivalent required; associate's or bachelor's degree preferred.
1+ years of experience in a similar role, preferably in a medium to large tech company or within the hospitality industry.
Excellent interpersonal and communication skills, with a customer-focused mindset.
Strong organizational and multitasking abilities, with attention to detail.
Positive attitude and a proactive approach to problem-solving.
Committed to contributing to a positive workplace experience and supporting team productivity.
Proficient in Google Suite and workplace management tools (e.g., Slack, Asana).
Ability to handle sensitive information with discretion and professionalism.

The typical hiring range listed above is specific to candidates located in Vancouver. The salary will be determined based on your knowledge, skills and competencies, and you'll have room to grow after you join!
