About the Role

Reporting to the Vice President of the BC Buildings group, you will oversee administration activities across our operations office and project site offices, ensuring efficiency, organization, and top-tier service. From managing office logistics and administrative staff to handling procurement, facilities operations, and corporate events, your leadership will keep our teams running at full speed.

As an Office Manager at Graham you will:

  • Lead and supervise administrative staff in the region, ensuring smooth daily operations.
  • Oversee office logistics, including reception, mail services, supply procurement, and workspace planning.
  • Supervise the maintenance of office equipment, including copier, fax machine, projectors / monitors in boardrooms, at reception, break rooms, etc.
  • Liaise with the corporate facilities team to ensure all facility and maintenance items are addressed.
  • Work with Document Control and the Legal Team to ensure consistent archiving, handling, and disposal of all project documents based on records retention policy.
  • Manage facility operations, addressing heating, cooling, plumbing, lighting, and other building repairs and security access needs.
  • Work with key teams (Corporate Facilities, Procurement, Equipment/Shops & Yards, and Accounting) to manage records, purchasing, and compliance.
  • Oversee the distribution of corporate communications to the BC regional teams.
  • Drive cost-saving initiatives while maintaining high-quality office services.
  • Ensure office safety and participate in Health & Safety Committees.
  • Ensure acquisition of office supplies is in line with purchasing best practices, looking for efficiencies and cost savings where possible / applicable, and ensuring costs are kept within budget.
  • Schedule receptionist relief during the day or as part of vacation and break coverage.

Qualifications / Experience:

  • Degree/Diploma in Business Administration (or related field preferred).
  • 10+ years of administrative experience, including at least 5+ years in a management role.
  • Proven leadership skills to mentor, train, and develop a high-performing team.
  • Strong customer service-oriented mindset and exceptional interpersonal skills.
  • Excels at fostering a positive workplace culture with a proven ability to lead with professionalism and courtesy.
  • Excellent organizational, problem-solving, and time-management abilities.
  • Proficiency in MS Office Suite, SharePoint, Teams, and SAP (an asset).
  • Exceptional written and verbal communication skills.

Compensation:

  • $80,000 - 95,000 per annum
  • Salary will commensurate with education and experience

  • 3 to 5 weeks of vacation per year, with credit for prior industry experience
