We are seeking a dedicated and passionate Front Desk / Receptionist to join our team at Yaletown Laser Centre. Role Overview

As a Client Care Coordinator/Receptionist, your primary responsibility will be to create an outstanding client experience. Your role will involve interacting with clients, scheduling appointments, converting all new leads, processing payments, and recommending treatments and skincare products. Previous experience in medical aesthetics or the medical field is preferred, but we are open to candidates who are passionate about this industry and eager to learn.


Key Responsibilities

  • Greet clients upon arrival and deliver a premium 5-star customer experience.
  • Provide exceptional service and go above and beyond to meet client expectations.
  • Assist doctors and clinical staff with administrative tasks and minor medical duties as required.
  • Manage patient intake, including photography, consent forms, and medical history forms.
  • Escort patients to and from treatment rooms, ensuring a smooth and professional experience.
  • Schedule and confirm appointments using Patient Now and RX Photo software, handle reminder and follow-up calls.
  • Respond to and manage client inquiries via RAMP & Connect the Doc CRM software.
  • Maintain the clinic's success by managing phone lines, email communication, and retention activities.
  • Handle client payments discreetly and professionally.
  • Keep the reception area organized, tidy, and stocked with necessary materials.
  • Educate clients on our products and services, providing guidance to support their needs.
  • Perform any other duties as required by management.

Qualifications

  • MOA (Medical Office Assistant) certification from an accredited institution is preferred.
  • 2+ years of experience as a Medical Aesthetics Receptionist or Client Care Coordinator, with sales experience.
  • 2+ years of sales experience in Medical Aesthetics (Required)
  • Social Media Marketing: Experience and knowledge in social media marketing (not required but an asset)
  • Excellent written and verbal communication skills.
  • A positive, proactive attitude with a willingness to learn.
  • Ability to work both independently and collaboratively as part of a team.
  • Flexible availability, including evenings and weekends, as needed.
  • Strong time-management skills and the ability to prioritize tasks effectively.
  • Detail-oriented and able to work efficiently in a fast-paced environment

Schedule

  • Full-time, 5 days a week.
  • Flexibility required for evenings and weekends.
