Reporting to the Regional Director, Lease Documentation for Office and Industrial (BC), the Lease Documentation Coordinator is responsible for providing accurate and timely administrative support and customer service to the Lease Documentation team and its clients. 

Responsibilities  

  • Prepare initial drafts of leases, amending agreements, extension agreements, consents and other related lease documentation
  • Utilize leasing software (Deal Manager) to review and prepare documentation packages for Leasing and Investment Management approval
  • Manage the execution of documents, both externally and internally, using DocuSign
  • Distribute fully-executed documentation (both externally and internally) and upload documentation to the SharePoint property portal
  • Prepare and process internal leasing fee calculations
  • Process monthly reporting on Lease Documentation fees
  • Collect, review, and track all legal invoices for the region, ensuring correct billing entities and obtain relevant approvals for processing
  • Effectively track and record lease and related documentation in prescribed manner (tech platforms, excel trackers, etc.)
  • Run title searches and corporate searches
  • Update and maintain documentation in SharePoint property portal
  • Provide administrative support to the Lease Documentation department
  • Liaise with Leasing, Investment Management, Operations, tenants, solicitors, and brokers as needed
  • Other related duties as required

Experience and Qualifications:  

  • 2 years of experience in drafting leases, amending agreements, extension agreements, consents and other ancillary real estate lease documentation is preferred
  • 3-5 years of related legal document preparation and administrative experience, including basic account processing (A/R, A/P), preferably with knowledge in the areas of leasing and contract law
  • Post secondary education and experience in the real estate industry is preferred
  • Exceptional attention to detail and accuracy
  • Strong organizational, planning and time management skills
  • Ability to deliver detailed, accurate and quality results under pressure and within tight deadlines
  • Highly effective at prioritizing workload and handling competing priorities
  • Excellent and well-developed relationship skills; superior oral and written communication skills
  • Ability to work well individually and as part of a busy team and to develop and sustain strong cooperative working relationships both internally and externally
  • Advanced skills in Microsoft Word and Excel
  • Experience with Yardi, Deal Manager, DocuSign and Microsoft Office 365 suite (OneDrive, SharePoint, Teams) is an asset
  • Ability to adapt to systems change, with an interest in problem solving and tech integration

The expected annualized base salary range for this role is $66,000 - $75,000.

The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
