Reporting to the Executive Vice President & Chief Commercial Officer, the Executive Assistant is responsible for overseeing all executive support and assistance alongside providing general administrative support for the Commercial function. Be a courageous safety leader; adhere to and sponsor safety and environmental rules and procedures
Manage the Executive’s calendar by resolving priorities and urgent situations, scheduling meetings and making changes and adjustments as required
Organize complex domestic and international travel arrangements, prepare detailed travel itineraries and manage check-ins, as well as all flight, hotel, and car service bookings in advance of travel
Identify emerging issues, determine their priority, and compile background information for timely and appropriate decisions and action
Support the Executive in managing email and maintain a priority list of to-do and follow-up actions
Prepare and draft letters, reports and PowerPoint presentations
Support the achievement of strategic goals and objectives through forward planning and time management
Provide support, planning and liaison for customer, international office and site visits
Complete and process expense reports
Compile and submit timesheets for the department as the need arises. Fluidly adapt to changing environments and requirements (i.e. sudden meeting changes or travel requirements)
Maintain strict confidentiality with sensitive information, financial documents and personal matters
Willing to be available after normal working hours and on the weekend for emergencies
Minimum five years of experience in a senior support role in a fast-paced work environment with a complex organization structure
Post-secondary training in an administrative program is an asset
Highly proactive in leading key accountabilities, i.e. anticipates and resolves potential calendar conflicts
Proficiency with core Microsoft Office applications, including Outlook, Word, Excel, Adobe Pro, SharePoint and MS Teams
Excellent English language skills (written and verbal). The ability to speak, read and/or write Spanish would be an asset
Advanced professional and interpersonal skills and ability to manage high-value interactions across various executive levels internally and externally
Ability to think critically, solve problems and make decisions independently under tight deadlines
Client-focused with the capacity to demonstrate tact, discretion, confidentiality, diplomacy, trustworthiness and a sense of humor
Conscientious self-starter who enjoys working in a team environment needs minimal supervision and can prioritize workload under pressure
Strong organization skills and attention to detail

Salary Range: $65,000 - $81,000
The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
