Job Summary
This position is responsible for assisting the School of Trades and Technologies by providing administrative coordination and support for the development and implementation of projects that support Trades and Technologies programs. The position will work closely with Trades and Technologies staff, Educational Administrators, faculty, and students as required.
Specific Duties
• Provide project support as required for the School of Trades and Technologies in the development and implementation of projects that support Trades and Technologies programs.
• Assist with the development of policies and processes for the School of Trades and Technologies, and prepare documents as required.
• Assist with the development of processes for delivering trades and technologies programs with respect to safety, organization and liaising between various employees within and outside the department.
• Monitor the progress of special projects and prepare project updates.
• Provide research, advice, and coordination for special initiatives; including, internet and phone research, determine effective reporting models, develop summaries, collate and analyze complex information.
• Research and identify best practices, initiating activities and collaborating for results and recommendations.
• Act as a resource person for current projects and processes within the department.
• Provide support to students taking trades and technologies courses or programs with regards to special projects.
• Communicate effectively both verbally and in writing with faculty, staff, and students.
• Gather information regarding program and student needs.
• Demonstrates a commitment to and understanding of a learning-centred approach to education, training, and communication.
• Provide liaison and administrative support to Trades and Technologies with regards to special projects and existing processes as needed in an effective and detailed manner.
• Prepare correspondence and reports.
• Coordinating meetings including but not limited to preparing and distributing agendas, and recording/transcribing and distributing minutes.
• Assist with developing schedules for meetings about projects.
• Maintains confidentiality of student and faculty information.
• Assist Trades & Technologies staff with administrative support in the absence of other team members.
• You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners and communities.
• You will promote a positive work atmosphere and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
• Other duties as assigned by Associate Dean or designate.
Skills & Qualifications
• Recognized two (2 ) year diploma in Business Administration/Management or other relevant field of study
• 3 years or more experience as an administrative or project assistant.

Technical:
• Proficient in appropriate technological resources; including, word processing, database construction and application, electronic spreadsheets, email, internet, project management software, and web-based and relevant research technologies.
• Good knowledge of relevant office procedures and practices with attention to detail as required for the planning, implementation and maintenance of special projects.
• Proven ability to gather, analyse, integrate and summarize complex and varied material, and to provide accurate, complete and current information and advice
• Demonstrated ability to maintain confidentiality.
