Job Summary
This position takes responsibility for daily and on-going duties that support international recruitment efforts, including responsibility for ongoing communications with the College's network of international agents and in-country representatives, and admin support for recruitment events and communications. This position is one requiring strong organizational and time management skills, initiative, flexibility, and a high degree of human relations and cross cultural communication skills. This position works in collaboration with other members of the International team.
Specific Duties
1. Agent Relations
•Using the new agent evaluation process as a guide, conduct reference checks for potential new agents, provide references to other institutions as requested.
•Initiate agreements, monitor expiring agreements and in collaboration with the Associate Director, renew or cancel based on performance.
•Coordinate with the Financial Administrative Assistant and the Procurement department to set up agent agreements.
•Provide new agent orientation including processes for submission of students' applications and commission invoices.
•Distribute brochures and other marketing materials.
•Track agency activity and benchmark against targets set in agent agreements.
•Work with agencies for them to provide the College with regular reports based on CNC's accountability reporting framework.
•Follow up from all agent recruitment events, including tracking potential agents, and initiating future correspondence regarding contracts.
•Communicate with in-country representatives (ICRs) in alignment with the student enrolment cycle, to keep them apprised of agent enrolment targets in their target country, recruitment events and address inquiries regarding seat availability information, any changes to program admission requirements, and best practices.
•Keep agents and their staff members up-to-date by regularly creating and sending communications updates, as required through a variety of technologies.
•Respond to current agent inquiries, including obtaining additional information, and/or referring inquiries to other departments as appropriate.
•Support the Associate Director in attending virtual agent workshops on an as-needed basis.

2. Coordination of Overseas Recruitment Activities
• Completion of registration forms, payments and submission of marketing and promotional material to fair organizers including customized descriptions of CNC and programs offered (dependent on country and target market), photo files and logos for advertising.
• Liaise with fair coordinators overseas to answer all inquiries and concerns.
• Coordinate the cost-effective production and deployment of printed marketing materials for overseas recruitment initiatives.

3. Coordination of Marketing Material
• Initiate discussions with communications coordinator to update materials and ensure branding consistency.
• Work with Communications Department to ensure agent portal information is accurate and up to date.
• Using the current marketing and recruitment plan as a guide, collaborate with Associate Director to develop marketing materials for specific events and specific markets.

4. Student Relationships and Networking Activities
• In collaboration with the Associate Director, attend and participate in identified student relationship-building and networking activities, as required.
• Act as the point of contact for electronic student inquiries and supports; direct inquiries as appropriate.

5. Other Related Duties
• Maintains statistical information relating to International department: confirmed student reports, agent performance reports, data from online recruitment platforms and others.
• Manages web-based ordering for overseas events and produce reports for stock, dispatch and invoicing.
• You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners and communities.
• You will promote a positive work atmosphere and communicate in a professional manner that demonstrates mutual respect with students and colleagues.
Skills & Qualifications
• Recognized two (2 ) year diploma in office administration or equivalent is required.
• 3 years or more Minimum of three years related administrative experience at a similar level of responsibility.

• Demonstrates initiative and judgement.
• Advanced knowledge of office technology including Microsoft Office Suite: Word, Access, Excel, Publisher, Outlook as well as Adobe Acrobat and e-newsletter format such as Mailchimp.
• Ability to work independently and with initiative.
• Excellent proof-reading skills.
• Keyboarding skills of 50 WPM with attention to detail.
• Excellent skills in group processes, decision-making and time management are required.
• Strong understanding of cross-cultural communication and an ability to demonstrate effective cross-cultural communication and problem-solving skills under pressure.
• Excellent interpersonal skills, including superior listening skills and the ability to interpret and pass on detailed information accurately.
• Demonstrated flexibility in work habits, problem-solving approach in a constantly changing environment
• Proven ability to work with a very demanding workload, changing priorities, and continuous interruptions and to coordinate activities within the work of the unit.
• Ability to maintain confidentiality.
• Familiarity with BC Post Secondary system is an asset.
• Ability to work positively in a busy, demanding environment.
