Job Description Summary

The Operations Supervisor is an intermediate building operations position and is responsible for providing administrative, operational, and technical support to the Operations Manager and the Maintenance department for Aberdeen Mall. The Operations Supervisor will ensure that the building is being managed and maintained in a safe and environmentally responsible manner and to ensure operational efficiency. Responsibilities include preventative maintenance of all internal and external assets, tenant relations and coordination of maintenance staff duties and Operational Programs. As well, the Operations Supervisor will assist with preparing Contracts, managing COI and WorkSafe documentation and assist with Tenant Coordination duties.

Job Description

The primary responsibilities of the Operations Supervisor include:

· Supervise Maintenance staff including hiring, training, personal development, etc.

o Performance Management - look for ways to increase productivity.

o Create and manage monthly Maintenance Staff schedules.

· Oversee and maintain preventative maintenance program and unscheduled repairs; general maintenance including interior and exterior building components, plumbing, lighting, electrical, elevating devices; life safety systems and janitorial / housekeeping tasks.

o Recommend and implement improvements for preventative maintenance programs on an ongoing basis.

o Manage the Angus Preventative Maintenance system.

o Maintain effective building-specific maintenance and safety procedure manuals.

· Manage the Direct Digital Control (DDC) System

· Manage and oversee the Tenant Service Requests program.

o Respond to Tenant Service Requests as required.

· Participate and coordinate annual scheduling and execution of the C&W Safety Program as directed by Asset Services, Engineering Leadership, EH&S Administration, etc. Responsible for 100% compliance of the assigned portfolio.

· Manage operational accounts for building and assist in development and management of the operating and capital budgets.

o Obtain quotes from various trades as directed by Operations Manager

o Create Purchase Orders as required.

· Coding AP Invoices and submitting to Operations Manager for approval.

· Utility Management such as tracking use, consumption, cost, reporting, comparison models, sub-metering, budgeting, variances as directed by Management and/or Leadership.

o Monthly updating / inputting of Greencheck, Utility Readings, Portfolio Manager, TAGS and Recycling Log

· Conduct regular inspections of building systems and equipment; identify and resolve issues.

o Remain current with new industry practices, legislative changes, and new technologies.

o Maintain HVAC Equipment Inventory and Nameplate Data, Maintain Tool Inventory.

· Monitor performance and trouble shoot mall HVAC, electrical, mechanical, life safety and other equipment (i.e., emergency generator, sprinkler flows etc.).

· Conduct Weekly inspections of the interior and exterior property and coordinate corrective action for deficiencies immediately including reporting to the Operations Manager for appropriate follow-up.

· Assist the Operations Manager in relation to tenant co-ordination and major projects, and assist with site contractors and their approved vendors (drawing review, site tours and Landlord Work job pricing)

o Create Project funding requests (Major Expenditure Approvals - MEA's)

· Assist in solicitation, administration, execution, and performance of maintenance/ repair service contracts.

o Monitor third party contract personnel as it relates to contracted services (cleaning, escalator & elevator, HVAC, etc.).

· Update and maintain external business partner list including suppliers, contractor's sub-contractors and service providers.

· Conduct insurance and risk management inspections

o Tracking & Monthly updating of Contractor Insurance and WCB documentation.

· Provide technical or administrative advice to internal and external clients.

· On-call for emergencies - cell phone provided.

· Assist with preparing Contracts, managing COI and WorkSafe documentation; and assist with Tenant Coordination duties.

· Other assigned duties as assigned.
