About the Position

The Chilliwack School District is seeking a detail-oriented and highly organized Executive Assistant to join the Secretary Treasurer’s Office. Reporting directly to the Secretary Treasurer, the Executive Assistant plays a pivotal role in providing comprehensive, high-level, confidential administrative support to the Secretary Treasurer and department leaders, including the Assistant Secretary Treasurer and Director of Facilities and Transportation.

Core responsibilities include:

  • Executive Support: Oversee the efficient operation of the Secretary Treasurer’s office by coordinating workflow, managing priorities, and supporting communication between internal and external stakeholders.
  • Administrative Support: Provide high-level administrative support, including preparing reports and correspondence, managing schedules, and organizing meetings and events.
  • Operational Support: Liaise with internal departments to support procurement, project coordination, and communication initiatives. Act as the district liaison for insurance matters, including policy renewals, incident reporting, and responding to inquiries.
  • Event Coordination: Plan and manage event logistics, including scheduling, travel arrangements, and on-site coordination.
  • Collaboration: Serve as a trusted liaison across departments, fostering collaboration and proactively addressing challenges to ensure seamless operations.

Salary Range: $67,879 to $84,848 commensurate with experience.

Qualifications

  • Grade 12 graduate with a post-secondary diploma or certificate in finance, business administration, or the legal field.
  • Minimum of 3 years of progressive experience in an administrative or executive assistant role, preferably in a school district or public sector environment.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database tools.
  • Strong organizational, communication, and interpersonal skills with demonstrated ability to manage multiple priorities and meet deadlines.
  • Commitment to confidentiality, accuracy, and professional development.
