Reporting to the Manager, International Student Recruitment, this position provides administrative support to the Student Recruitment team.

Key Responsibilities:

  • Providing administrative support for Student Recruitment, including booking venues, liaising with third parties, managing registrations in the booking system, and replying to inquiries over email and phone

  • Supporting campus tour bookings and responding to inquiries

  • General administrative tasks and coordination of the physical environment of the office, including sorting and managing mail, ensuring efficient functioning of team equipment and technology, scheduling of events and meetings, organizing documents and folders, payment of invoices, and ordering of supplies

  • Supporting the collection and management of prospect data, and pulling reports of prospect and recruitment data to support domestic and international recruitment team members

  • Administration related to NAIT's Authorized International Representatives, including preparing, updating, and mailing documents and contracts for Authorized Representatives and gathering all required data and documents to calculate and prepare the Authorized Representative commission packages

  • Supporting recruitment travel administration, including arranging for shipping and receiving of recruitment materials across Alberta, Canada, and internationally

  • Providing front-line support, answering calls, and greeting students, staff, and members of the public, as required, for Student Recruitment initiatives (campus tours, summer camps, events, etc.)

  • As a member of the Student Recruitment team, the Assistant also supports with major recruitment events and initiatives, as needed

Skills & Abilities:

  • Advanced Proficiency in Microsoft Office (strong emphasis on MS Excel and Word), PeopleSoft, Adobe, and internet applications

  • Strong organizational skills and strong attention to detail

  • An understanding of basic accounting and purchasing practices

  • Initiative and problem-solving skills

  • Effective time management skills, a sense of urgency, and the ability to plan and prioritize daily activities in a fast-paced environment

  • Ability to work well both independently as well as part of a team

  • Strong communication and interpersonal skills, with an emphasis on excellent customer service

  • Understanding of applicable NAIT policies, guidelines, and procedures

  • Knowledge of customer relationship management best practices and/or experience with customer relationship management software is an asset

Qualifications:

  • Completion of Grade Twelve

  • Related post-secondary certificate or diploma - Office Assistant Diploma or Administrative Professional Certificate or Diploma

  • 2 to 3 years related experience

  • Equivalencies may be considered

  • Experience in financial processes is an asset

  • Previous experience working at a post-secondary institution, specifically in student recruitment, is an asset

  • Ability to work flexible hours occasionally to support major events

  • Ability to lift 25 lbs.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).


Remuneration: $44,256.94 - $57,140.72 annually, plus a comprehensive benefits package. (Classification - Administrative Support IV).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
