The Automotive Sciences portfolio within the School of Transportation is currently recruiting for a full-time permanent administrative support position to support the Associate Dean with operational activities. The Operations Administrative Assistant carries out a variety of responsibilities to ensure smooth operation of the department as follows:

Key Responsibilities:

  • Assists the Associate Dean with operational activities in the areas of finance, scheduling, human resources, contracts, IWAS, timesheets, payroll, and attendance management.
  • Coordinates and collaborates with all levels of administrative professionals on improving administrative efficiencies in support of department and school activities.
  • Gathers, analyzes, and reports data on student numbers to ensure admissions targets are met.
  • Assists with the development and implementation of marketing, recruitment, and retention strategies.
  • Supports Human Resources activities, including recruitment, onboarding, performance tracking, and orientation of personnel.
  • Assists with the preparation and monitoring of operating and capital resource budgets.
  • Tracks and monitors department incomes and expenditures, ensuring alignment with budget forecasts.
  • Coordinates special projects and initiatives led by the Associate Dean, ensuring timely execution and follow-up.
  • Supports new staff members with orientation, key requisitions, office space, and resource setup.
  • Plans and organizes department events, including faculty development sessions and student engagement activities.
  • Coordinates meetings, including preparing agendas, itineraries, meeting notices, and related materials; manages the Associate Dean's calendar.
  • Acts as a liaison with internal and external stakeholders to ensure effective communication and collaboration.
  • Prepares various reports, organizes and tracks information, and maintains department documentation.
  • Supports facility operations related to program delivery.


Skills & Abilities:

  • Excellent interpersonal and communication skills.
  • Strong organizational and time management skills.
  • High attention to detail and accuracy in financial tracking and reporting.
  • Adaptability and problem-solving skills in a fast-paced environment.
  • Proficient with MS Office Suite (Excel, Word, PowerPoint, Access, Teams) and other administrative systems.
  • Familiarity with policies, guidelines, and procedures that impact department operations.
  • Awareness of budget-related processes and student administration systems.
  • Ability to exercise professionalism and discretion when handling confidential matters.


Qualifications:

  • High school diploma or equivalent.
  • Related post-secondary certificate or diploma preferred.
  • Minimum of three years of related experience in administrative support roles.
  • Experience in post-secondary administration or supporting senior leadership is an asset.
  • Equivalencies may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration: $48,257.04 - $62,451.48 annually, plus a comprehensive benefits package. (Classification - Administrative Support V).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
