The Students & Campus Life department is seeking an organized, proactive, and detail-oriented individual to provide high-level executive support to the AVP, Student Experience, and the AVP, International. This role is crucial in helping both AVPs achieve their strategic goals as outlined in NAIT's vision, mission, and strategic plans. You will be instrumental in coordinating administrative functions, streamlining processes, and fostering effective communication within the department and with external stakeholders.
As the Administrative Assistant, you will be the key point of contact for both AVPs, supporting them in their day-to-day activities, ensuring smooth operations, and facilitating collaboration between the Student Experience and International portfolios.

Key Responsibilities:
Develops key reports and communications on behalf of the Student Experience and International office; tracks, coordinates and develops key reports including reports, Board of Governors' report, external stakeholder reports, grant reports, etc.
Develops and briefs the AVPs' on events and meetings; coordinates and organizes the AVPs' commitments by ensuring their calendar is reviewed in advance and then proactively coordinates the development of information to meet the requirements of meetings; prepares agendas, itineraries, meeting notices and related materials using own judgment and initiative; ensures deadlines and outcomes are met and agenda items brought forward.
Assist with planning and executing events, workshops, and conferences related to student experience and international initiatives.
Performs executive-level administrative functions in support of the AVPs and leadership team; assures that all purchasing and travel expenses are processed and reconciled.
Manages external relation priorities; supports relationship management on behalf of and with the AVPs' coordinates with Advancement on key contacts.
Interfaces with both internal and external stakeholders on a regular basis, often independently, to support Students and Campus Life Leadership Team success.
Assists in the administrative functions related to interdepartmental partnerships and support as required.

Advanced skills in the Microsoft Office Suite of programs and Adobe Acrobat.

Using a combination of feedback and reflection to gain productive insight into personal strengths and weaknesses.
Qualifications:
Diploma or degree plus several years of progressively responsible administrative assistance and customer experience is needed.
Equivalent combinations of education and experience may be considered.
Experience in post-secondary would be an asset.
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).
Remuneration: $48,257.04- $62,451.48 annually, plus a comprehensive benefits package. (Classification - Administrative Support V).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
