Students & Campus Life is looking for a full time Academic Integrity Operations Administrative Assistant to support the ongoing operational administrative academic integrity work. Reporting to the Academic Integrity Liaison, this position will be the first point of contact for the Academic Integrity Liaison with internal and external individuals.

Key Responsibilities:

  • Communicates and participates as a team with School Leadership, other Operations Administrative Assistants, members of the BIC, and NAIT wide faculty, to ensure quality and consistent processes for the Academic Integrity and Transfer Credit functions in the department.

  • Supports the Academic Liaisons with:

    • Coordinating strategic prevention focused communication initiatives to address the emerging and ongoing academic integrity and transfer credit challenges
    • Assists with staffing recruitment, employment, performance, and orientation of personnel including preparation of related documentation for department staff (e.g., AUPE support staff, or salaried and casual instructors).
    • Coordinating and organizing the Academic Integrity Liaison's commitments with calendar and meeting invites.
    • Coordinating strategic administrative initiatives/processes which may include: special projects, academic warning campaigns and Academic Integrity educational campaigns.
    • Acting as a resource to faculty and students on the academic integrity and transfer credit policy, procedures, information, and training.
    • Triaging Academic Integrity and Transfer Credit requests i.e. credential assessments, investigative support, appeals, major and egregious misconducts.
    • Supporting with the development of Academic Integrity educational resources and documentation for Transfer Credits requests.

  • Coordinates the operational administrative activities for programs/business functions within their portfolio, which may include:
    • Providing all necessary cross functional administrative supports (i.e., coordination of workload, onboarding, training, upkeep of required documents and, learning management system) for the Academic Integrity and Transfer Credit team
    • Providing consistent communication in support of student success by notifying students of required Academic Integrity Training and navigation of BrightSpace, Student rights and responsibilities, Academic Integrity Policy and procedures, Academic Misconduct Appeal procedure, reinforcement of NAIT's values and academic expectations and additional supports are available to them.
    • Supporting the Academic Misconduct investigation process by facilitating meetings with students, documenting findings and educating both students and faculty on procedurally informed decisions.
    • Facilitating the seamless operation of the Academic Integrity portal and Service Now and informing the Liaisons, when issues arise.
  • Maintains and enhances a record management system and filing of materials for department, program, or business unit which may include:
    • Tracking of current and past Academic Misconducts and Transfer Credit requests, preparing Service Now tickets and triaging incoming requests
    • Supporting, reporting, referring and following up on Academic Integrity and Transfer Credit related matters.
    • Pulling data from various systems and resources for the Academic Integrity Liaison and Ai team for the purposes of data informed decision making.
    • Student records (post-enrolment requisite management, enrolment management, course withdrawals, exam conflicts and deferrals), when supporting other Administrative Assistants
    • Other centralized tracking as required by the Academic Liaison.
  • Coordinates department/program/business unit meetings for the Academic Liaison Records minutes and processes meeting minutes as required/identified:
    • Prepares agendas, itineraries, meeting notices and related materials using own judgment and initiative; ensures deadlines are met and agenda items brought forward.
  • Provides clear written communication through memos, minutes, letters, forms, and schedules.
  • Creates and promotes a culture of excellence, cooperation, consultation, and respect both within and beyond the program(s).
  • Adapt an innovative and solution-oriented mindset to address Academic Misconduct and Transfer Credit concerns.
  • Assists staff with navigating the Academic Integrity Portal and Academic Misconduct Procedures.
  • Other duties as assigned.

Skills & Abilities:

  • The successful candidates will have exceptional analytical and organizational skills, exceptional attention to detail, strong written and verbal communication skills, the ability to balance priorities and take initiative; and the ability to exercise tact and discretion.

  • Knowledge of MS Office suite is essential; strength in the use of Excel is strongly desired.

  • Expert level knowledge of computerized applications systems, (i.e. PeopleSoft, IWAS) is required.

  • An understanding of and prior experience with post-secondary academic integrity procedures and resources would be an asset.

Qualifications:

  • Grade 12 or equivalent and Office Administration Certificate.

  • 3-5 years of progressively responsible office experience.

  • Equivalencies may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration: $48,257.04 - $62,451.48 annually, plus a comprehensive benefits package. (Classification - Administrative Support V).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
