THE POSITION

The Executive Assistant is responsible for day-to-day administrative functions of the business. This role reports directly to the Calgary Stampeders President while providing support to both the President and the Grey Cup Executive Director. The position requires collaboration with a range of stakeholders, including internal team members, contractors, CFL representatives, Club and League partners, and the Grey Cup committee members.

This position is a fixed-term contract position, concluding on December 31st, 2026.

KEY ACCOUNTABILITIES

  • Responsible for managing and maintaining daily, weekly, and long-term schedules for the President or Executive Director with the ability to shift priorities;
  • Preparing meeting agendas and accurately recording minutes for the Grey Cup committee meetings;
  • Preparing materials as required for budget preparation;
  • Organizing and coordinating internal and external meetings and conference calls including logistics, catering, attending meetings, capturing minutes and follow-up actions;
  • Developing strong internal relationships with business units and all stakeholders;
  • Providing administration support to the President and Grey Cup Executive Director;
  • Arranging travel for President and the Grey Cup Executive Director;
  • Working independently to develop communication, confidential correspondence, reports and presentations;
  • Screening all incoming calls and voicemails;
  • Coding and tracking receipts for expenses submission;
  • Conducting verbal and written communication as required;
  • Actively participate in safety programs and follow policies;
  • All other duties as assigned.

THE INDIVIDUAL

The ideal candidate will have the following background:

  • 5+ years of experience of managing and working with Executives.
  • Highly organized and able to meet deadlines;
  • Ability to handle multiple tasks at once and prioritize effectively;
  • Exceptional communication skills;
  • Ability to work a flexible schedule;
  • Positive attitude and a strong attention to detail.

CERTIFICATIONS

  • A post-secondary diploma is considered an asset.
