Your role on our team: The Construction Administrator is responsible for supporting our project team with tasks such as budgeting, material orders, and site directives. The ideal candidate will have strong administrative skills, the ability to learn new technologies, and the flexibility to commute to different sites around the Greater Calgary Area, along with excellent communication and interpersonal skills.

Responsibilities:

  • Answer phones and respond to requests from trades, supervisors, and head office.
  • Track, control, and organize documents in various systems.
  • Coordinate inspection packages for City Inspectors (e.g., excavation, framing, and grading).
  • Participate in production meetings with Minto staff, record and distribute minutes.
  • Order and keep track of office supplies for the site office.
  • Review lot sightings for accuracy and ensure compliance with sales, décor, grading, construction, etc.
  • Maintain and update all hard copy and electronic files related to specific site lots, including design upgrades, site plans, etc.
  • Install and maintain all lot signage and advertising.
  • Ensure all Minto staff and trade partners abide by Minto’s Health & Safety Policies.
  • Provide notification and reminders, track and maintain department timesheets, and ensure all are completed by the cutoff date.
  • Prepare payroll and report vacation, absenteeism, and sick activities for the department.
  • Provide employees with uniforms and safety shoe vouchers.
  • Respond to internal requests (e.g., IT requests, ordering office supplies).
  • Coordinate the processing of expense claims for Site Super and Construction Manager.
  • Issue tender bulletins and addendums as directed by Construction.
  • Organize electronic and hard copy files, including Trade Portal.
  • Store electronic and hard copy executed contracts and ensure they are returned to trade/consultant for their files.
  • Manage online drawing management and project FTP sites; act as the main administrator for all FTP sites for Toronto.
  • Archive construction files for the site office and head office, maintaining a searchable spreadsheet of archived materials.
  • Assist in investigating past issues; gather information and create documentation packages related to assorted legal actions and investigations.
  • Create PR and new vendor forms in SAP and follow up on delinquent invoices for various vendors.
  • Perform other duties within the scope, spirit, and purpose of the job, as requested by management.

Qualifications:

  • Post-secondary education at the university or college level
  • A minimum of three (2) years of relevant work experience.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Project).
  • Experience in AutoCAD and Revit is an asset.
