Brokerage Coordinator

Job Description Summary

We are looking for a Brokerage Coordinator to join our Calgary office. The successful candidate will be working within a team structure responsible for supporting a pool of Brokerage Agents through daily business line operations. This position reports directly to the Operations Manager, supporting coordination and organization, documentation of offers/agreements, exclusive listing processes, advertising and marketing, research and data analysis, and various administrative duties.

Job Description

Administration & Coordination

· Coordinate listing and team marketing strategies, including coordinating the production of team social media communication.

· Maintain records and compile information for client activity reports, updating ongoing transaction pipelines.

· Conduct research and prepare market surveys.

· Compile property information and market data for listing proposals and opinions of value, including title searches, zoning/planning reports, MPAC, etc.

· Coordinate and execute marketing programs for listings, designing materials suitable for newspaper/magazine ads, direct mailers, and e-mail distribution (e.g., flyers, postcards, newsletter updates).

· Coordinate listing proposals and pitches, including print finishing (printing, binding, etc.).

· Coordinate and assist managing agents' deadlines, meetings, tasks, and client interactions.

· Maintain and administer database (Engage), updating owner, buyer, seller, property, and prospect information as required.

· Proofread and perform limited copywriting.

· Perform general clerical tasks, including data entry (Engage), photocopying, filing, telephone calls, archiving, organizing couriers, mailings, etc.

· Handle miscellaneous requests and special projects as required.

· Provide any other administrative tasks required by C&W to facilitate the transaction of C&W real estate business.

Client Interaction

· Field phone and e-mail inquiries from prospects, clients, and other brokers.

· Coordinate property tours and send packages.

· Manage client databases.

Financial

· Organize and prepare transaction documents (e.g., confidentiality agreements, offers, listing agreements, other forms, closing documents, trade records, etc.).

· Prepare research reports and charts using various sources (SiteSolutions, Realnet, Landlord vacancies, etc.).

· Abstract leases and prepare proposals with direction from the team.

Qualifications

· Ability to meet deadlines without compromising accuracy, excellent product quality, and attention to detail.

· Previous real estate experience in a commercial real estate organization (minimum 1 year experience).

· RECA license is an asset.

· College or University degree strongly preferred.

· Proficiency in Adobe applications such as InDesign, Photoshop,

Illustrator & Acrobat.

· Proficiency in Microsoft applications such as Word, Excel, PowerPoint, Outlook.

· Strong skill sets in electronic marketing (Twitter, LinkedIn).

· Ability to deliver excellent customer service at all levels of the organization and with external partners.

· Strong command of grammar and writing skills for proofreading and editing purposes.

· Exhibit a high level of professionalism and excellent interpersonal skills.

· Strong relationship-building ability, proactive, results-oriented, and resourceful.

· Possess strong organizational, time management, and project management skills with a demonstrated ability to work both independently and within a team environment.

· Appropriate work ethic/commitment level required.
